Description
Handley Regional Library seeks efficient and detail-oriented Administrative Assistant with experience using Microsoft Office / Excel and cash handling. Position open until filled.
Hours per week: 20 (morning hours are required)
Hourly rate of Pay: $13.50
Reports to: Bowman Library Branch Manager
Fair Labor Standards Act: Non-exempt

Position Summary
Performs administrative, clerical, and library support work under the supervision of the Branch Operations Manager with financial oversight provided by the Deputy Director. Runs errands as needed and performs related support tasks as required. Examines work routine on a daily basis to ensure that he or she is working as efficiently as possible. Makes suggestions to supervisor about changes in overall procedures to improve efficiency and service.
Major Duties
- Counts, records, and sends all fine, non-resident, and lost & paid monies to Library Administration daily. Reconciles cash and credit card transactions to the circulation fine summary report.
- Counts, records and sends all copy, interlibrary loan, fund-raising, donation box, and any other monies to Library Administration weekly.
- Maintains the inventory of library and office supplies. Orders library supplies as needed. Tracks purchasing history of supply orders.
- Coordinates copier/printer maintenance and supplies with vendor.
- Maintains the availability of public information materials.
- When necessary, delivers and/or picks-up mail from the post office. Occasionally, requires use of personal car. Coordinates mailing of packages and may handle account discrepancies or other issues directly with USPS, FedEx, UPS or other shipping vendor.
- Assists Branch Manager with other tasks as assigned.
- Provides support to Bowman Library department managers with duties such as copying, filing, sorting, and other duties as approved by the Branch Operations Manager
Supervisory Controls
Works under the supervision of the Branch Manager with financial oversight provided by the Deputy Director, although may operate with some independence once procedures are learned. Work is reviewed on the job, through regular conferences and annual performance evaluations.

Policies and procedures of the Handley Regional Library and the Five-Year Plan of the Handley Library .

Work is routine to complex in nature and requires attention to detail, accuracy, and the use of judgment, discretion and tact.
Scope And Effect
Work performed is essential to the smooth and efficient operation of the public library and affects library employees and the general public.

Contacts are with the library personnel, vendors and general public.
Physical Demands
Must be able to carry up to 25 pound box, load and use a hand truck, bend, lift, and reach.
Work Environment
Work is performed in public library setting during regular business hours; as well as being outside for short periods of time in all types of weather.
Requirements
Knowledge, Skills, and Abilities Required
Some knowledge of the purposes and functions of public libraries; ability to work independently if needed; ability to learn procedures readily; ability to schedule time and projects efficiently, ability to understand and follow oral and written instructions; good organizational, clerical and mathematical skills; word processing and spreadsheet ability; ability to use standard office equipment including calculator, copier, fax, etc; discretion in maintaining the confidentiality of patron records; ability to be flexible in meeting demands of staff; ability to establish and maintain effective relationships with co-workers.
Education, Training, And Experience Required
Two-year college degree: preferred or equivalent education and knowledge and experience in office skills and equipment. Preferred: training in Microsoft Office software.
