Job Summary:
We are seeking a dedicated and detail-oriented Administrative Assistant with Accounts Payable experience to join our skilled nursing home team. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our facility by providing administrative support and managing accounts payable processes.
Key Responsibilities:
Administrative Support:
- Perform general administrative duties such as answering phones, greeting visitors, and managing correspondence.
- Maintain and organize office files, records, and documents.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Assist in the preparation of reports, presentations, and correspondence.
- Maintain office supplies inventory and place orders as needed.
Accounts Payable:
- Process and manage accounts payable transactions, including verifying and coding invoices, obtaining necessary approvals, and ensuring timely payments.
- Reconcile vendor statements and resolve discrepancies.
- Prepare and maintain accurate financial records and reports.
- Assist with month-end closing activities.
- Communicate with vendors and respond to inquiries related to accounts payable.
Resident and Staff Support:
- Assist residents and their families with administrative inquiries and requests.
- Support nursing staff with administrative tasks as needed.
- Help coordinate special events and activities for residents and staff.
Qualifications:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in business administration, accounting, or a related field preferred.
- Proven experience as an administrative assistant or in a similar role.
- Accounts payable experience is required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Excellent communication and interpersonal skills.
Physical Requirements:
- Ability to sit for extended periods and perform repetitive tasks.
- Occasional lifting of office supplies and materials.
