POSITION SUMMARY
The Registrar is responsible to the Vice President for Academic Administration and works closely with other personnel in the office of academic administration, taking direction from them on specific projects. The position is full-time and offers benefits as specified in the staff handbook. Employee must possess a vibrant, personal Christian faith including a clear testimony of Christian conversion and be actively involved in an evangelical, preferably Southern Baptist, church.
DUTIES AND RESPONSIBILITIES
- Supervise assistant registrar directly and provide oversight for other office employees.
- Maintain registrar’s office budget.
- Plan and implement registration procedures for all semesters.
- Supervise the evaluation and transcription of transfer credit.
- Supervise and approve graduation evaluations for students preparing to graduate.
- Supervise and maintain accurate academic records.
- Remain current on best practices regarding academic policies.
- Scheduling:
- Maintain the academic calendar, updating it in coordination with and approval from the VP for Academic Administration and the Executive Cabinet.
- Build the course schedule for each term, working with the appropriate division chairs and the VP for Academic Administration.
- Assist in student advising as needed.
- Reporting:
- Complete or supervise the completion of reports including but not limited to IPEDS, Missouri Baptist Convention (academic section), National Student Clearinghouse, and others as directed by the VP for Academic Administration.
- Generate reports as needed for academic department review.
- Generate reports for offices and faculty as needed.
- Work on assigned institutional research projects so that HLGU can make data-informed decisions.
- Generate weekly enrollment.
- Analyze enrollment trends based on reports.
- Maintain and publish the catalog.
- Approve the certification of student athletes.
- Oversee the university’s compliance with the Family Education Rights and Privacy Act (FERPA) and communicate information to university employees.
- Maintain appropriate security measures for student information.
- Serve on the academic affairs committee and retention committee and other committees as needed.
- Serve as a member of the graduation committee.
- Attend monthly faculty/staff meetings.
- Other duties as assigned by the VP for Academic Administration or his/her delegate in the office of academic administration.
DEPARTMENTAL RELATIONSHIPS
- Will work with all departments, faculty, staff, and students.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of standard higher education policies and procedures, particularly those related to the Registrar.
- Must have a working knowledge of computers and the ability to learn new software programs as needed.
- A Christ-like demeanor and a customer-service orientation are a must. The Registrar is the face of the academic enterprise for many constituents at HLGU.
- Must have good interpersonal and communication skills.
- Knowledge of state and federal regulations for academic institutions preferred.
- Knowledge of FERPA rules and regulations preferred.
- Knowledge of Ellucian/Colleague and NAIA software preferred.
- Must have values consistent with the mission and purpose of Hannibal-LaGrange University.
- Must agree to, sign off on, and abide by the standards of employment on the back of the application, on the yearly contract, and in the staff handbook.
- Ability to manage multiple ongoing projects at the same time.
EDUCATION, EXPERIENCE, AND TRAINING
- Master’s degree in higher education preferred or related field; bachelor’s degree required.
- Knowledge of academic research and reporting preferred.
- Experience in higher education required.
- Supervisory experience required.
- Proficiency in Microsoft Office product suite required.
