Office Manager
Harvard Chabad is seeking an organized, resourceful, and enthusiastic Office Coordinator and Manager and Assistant to the Executive Director for our fast-paced and mission-driven organization.
The Office Manager is essential to the success of our team. In this role you’ll be responsible for managing day-to-day office activities, creating a positive and calm environment, keeping impeccable records, and ensuring the office remains meticulously organized. You’ll work beside the Executive Director, and at times will expand beyond office administration to provide support for operations and daily and special events. To be successful in this role you’ll need to be a self-starter who can prioritize important work and address things quickly and pivot seamlessly when necessary.
Daily Responsibilities Include:
- Handle office correspondence (mail, phone, and email)
- Support Executive Director and Team in all administrative tasks
- Record accurate and comprehensive meeting notes, and take dictation as needed
- Manage schedules and set up meetings
- Maintain comprehensive database system
- Devise and maintain office filing system
- Keep inventory of office supplies and order as needed
- Oversee and respond to student support requests
- Work closely with book keeper to maintain a multi-million dollar operating budget
- Receive, record, and process incoming donations
- Proactively identify emerging needs and develop plans to address them
- Support content as needed, including website updates and in development of the annual report

- Excellent computer literacy skills, including Microsoft Office and Google suite;
- a plus if you have experience with QuickBooks, graphic design tools (Canva, etc.), and managing social media channels
- Experience working in a non-profit helpful but not required
Education:
- Bachelors
Experience:
- Microsoft Office: 1 year (Preferred)
- Administrative experience: 1-2 years of professional experience preferred
