Job Overview

Heart-n-Soul Community Café is committed to addressing food insecurity, building community and providing delicious food to nurture body, heart and soul.

Position Overview: This position exists to support the Executive Director and other H-n-S CC staff through the completion of administrative tasks, volunteer coordination and the development and strengthening of relationships with community partners.

Commitment: a non-exempt, part-time, year-round, hourly position that requires some flexibility, including some weekend hours. Hours not to exceed 25 hours per week. No direct staff supervisory responsibilities, but may supervise volunteers

Some responsibilities include:

 Assist Executive Director with scheduling appointments and training and maintaining updates/changes to calendar as needed

 Provide office support such as data entry, and spreadsheet development

 Organize and maintain files, records, and confidential documents

 Assist in the development of plans, lists, procedures, reports, and upload to a shared drive

 Communicate within the organization and with the community as needed

 Answer questions/inquiries as needed

 Serve as a point of contact for internal staff, board members, and community organizations and partners

 Assist in maintaining all food trailer operational documents including health department records, fire suppression records, open/close lists, operational apps and passwords

 Assist in creating and updating a comprehensive calendar of events for the food trailer, pop up cafes, and fund-raising events and miscellaneous events

 Track and recognize donations of goods donated to Heart-n-Soul by individuals and organizations

 Set up for café events, including opening and closing, helping with point of sales, and welcoming volunteers as they arrive and check in

 Assess volunteer needs, recruit volunteers to match need

 Develop/provide orientation and training for volunteers

 Retain volunteers, to include recognition of volunteer contributions

 Ensure accurate volunteer records are maintained, develop reports

 Assist the Kitchen Manager with organizing and helping guest chefs as needed with meal preparation, utilizing available ingredients, food purchasing and scheduling preparatory hours

 Assist the Executive Director to work with community organizations and develop partnerships

Qualifications

  • Mission driven
  • Ability to use good judgment and problem-solving skills
  • Possess a driver's license and vehicle
  • Strong organizational skills
  • Proficient in Microsoft Office and Google Suite applications
  • Excellent phone etiquette and customer service skills
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Abiltiy to lift 50 pounds
  • Willingness to drive around Fargo, Moorhead and West Fargo area within a 50-mile radius
  • Preferred Qualifications
  •  Experience in a non-profit/not for profit environment
  •  Experience using Donor Dock software
  •  Experience in a professional/commercial kitchen
  •  SafeServ certified
  •  Event planning and project management experience
  •  Demonstrated ability to coordinate and train volunteers
  • Education: Associate degree required; bachelor’s degree preferred

Job Type: Part-time

Pay: Up to $18.00 per hour

Expected hours: 20 – 25 per week
