Job Description:
Heartbeet Lifesharing is looking for a Finance Coordinator to support the Finance Manager in effective financial management. The role involves working closely with an outside accountant; ensuring appropriate financial records are accurately maintained; and supporting team members in financial administration. Previous accounting/financial experience is a plus, with nonprofit experience preferred. This role requires familiarity with audits, accounts payable and receivable, and budgets; an ability to prioritize multiple projects; adherence to timelines and confidentiality requirements; and a commitment to operating in a team environment.
Responsibilites:
- Class and process incoming vendor invoices for accountant.
- Process staff reimbursements and mileage reimbursements.
- Prepare and make weekly bank deposits.
- Prepare documentation for incoming ACH payments for accountant
- Collect, enter and class credit card receipts in QuickBooks
- Send monthly invoices and maintain residents’ attendance sheets
- Manage the donor database, eTapestry in collaboration with development activities
- Assist with payroll and send bi-weekly timesheet reminders, collect timesheets and communicate with hourly employees as needed.
- Maintain a Finance Office filing system and binders.
- Collect and distribute incoming mail.
- Social Security responsibilities:
- Collect receipts for SSI recipients for whom Heartbeet is Representative Payee
- Submit pay stubs for employed SSI recipients
Knowledge, Skills, and Abilities:
The ideal candidate will have experience in nonprofit financials, along with:
- Bachelor's degree or equivalent
- Experience with (QBO) QuickBooks Online with bookkeeping standards including accounts receivable/payable and fund accounting
- Knowledge of nonprofit audits and tax filings
- Ability to create, update, and maintain financial reports in Excel
- Creative problem-solving skills
- Energetic, flexible, collaborative, and proactive
- Strong written, interpersonal, and presentation skills and the ability to effectively communicate complex information

- Demonstrated ability to work well with diverse populations
Hours / Job Type:
Part-Time: 10-15 Hours/Week
Job Location: In Office (possibility for some remote work)
Compensation: $24.50/hr
