Job Summary:

The Director of Operations is responsible for overseeing Helping Hearts California, LLC Operations.

Essential Duties and Responsibilities:

Duties include, but are not limited to the following:

· Responsible for all aspects of operations of the Helping Hearts California, LLC program

· Is familiar with Title 22, Title 9 and standards of care and requirements of outside regulators such as state licensure

· Provide leadership, supervision, implementation, management and work directly with contracted agencies and administrative team

· Ensures compliance with all turn-around times for requests and all required reports are submitted to licensure or other contractors

· Ensures facilities are maintained and free of danger or risk factors

· Coordinating with the Head of Service, reviews the policies and procedures to ensure they adequately address all requirements for purpose of licensure and contract compliance, and provide meaningful direction to employees, clients and any interested party in how Helping Hearts California, LLC conducts operations and provides care

· Attend and participate in any contract related meetings as necessary

· Ensure compliance with contract and licensure obligations for operational components of programs and facilities

· Is familiar with standards of care and requirements of outside regulators such as state licensure, and contracted insurers

· Ensure the Plan of Operations/Policies and Procedures are consistently applied and meet the organizational needs

· Provide leadership, supervision, implementation, management and work directly with contracted agencies related to operations, training and personnel management

· Assist with oversight for program operations and other initiatives identified by the President

· Ensure all facilities comply with licensure and fire code, including annual renewals

· Ensure all disaster drills and fire drills are conducted per licensure requirement

· Maintains OSHA compliance including policy development, safety programs, recordkeeping and reporting, facility and environment compliance, and training and education to all staff

· Ensure all vehicle maintenance, insurance compliance and licensing

· Oversee all facility licensure renewals and annual license surveys

· Oversee management and updating the company website

· Develop and maintain positive working relationships with outside agencies and the community including state agencies and insurers

· Ensure compliance with contract and licensure obligations of programs and facilities through oversight of all direct reports and departments

· Oversee annual insurance renewals (professional liability, workman’ comp, etc.) and monthly compliance

· Manages budget for department and ensures proper resource allocation

· Ensure there are no licensure violations

· Complete at least 20 hours of in-service training annually

Supervisory Responsibility:

This position is responsible for supervising the Operations Department.

Work Environment:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

The employee will normally work in the office or other Helping Hearts designated offsite locations in support of the organization with the possibility of working in a hospital/clinic environment, with frequent exposure to electronic and medical office equipment.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is frequently required to sit; and stoop, kneel, crouch or crawl. Prolonged periods of standing, bending and lifting. The employee must lift and/or move up to 20 pounds. The employee will engage in movements that involve lifting equipment used in patient care, etc. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. The employee may be exposed to infectious diseases and human waste products.

Position Type and Expected Hours of Work:

This is an Exempt, full-time position. Hours of work are Monday- Friday, 8:00 a.m. to 5:00 p.m., 40 hours a week. Additional hours on-call. Ability to be flexible in working hours.

Travel:

Travel may include going to various Helping Hearts offices and facilities.

Required Education and Experience:

  • A minimum of 3 years of progressively increasing responsibility in functional management/supervisory roles (cross-functional management experience a plus.)
  • 2 years’ experience working in behavioral health environment.
  • Experience in leadership; succession pipeline development; employee engagement; and strategic (3-5 year) planning.
  • Bachelor’s degree in Logistics, Business, Operations Management, or a related field preferred.
  • Equivalent combination of education, training, and relevant experience will also be considered.
  • Effective interpersonal skills and communication skills and capable of supporting and driving cross-functional plans and goals
  • Ability to work effectively with a wide range of people, teams, managers, supervisors, and vendors.
  • Excellent written and oral communication skills
  • Effective critical thinking, problem-solving, organizational, analytical, and time management skills
  • Proficiency in MS Office
  • CPR/First Aid Certified (Training provided)
  • CPI Training (Training provided)
  • Ability to work in a team environment
  • Must have excellent observation, good judgment, and good oral and written communication skills.
  • Professional in attitude, demeanor and dress.
  • Good organizational skills and ability to work under pressure and meet deadlines.

Work Authorization/Security Clearance:

  • Must be able to pass background check and drug screening unless otherwise prohibited by law.
  • Live Scan Fingerprint Clearance
  • Must be 21 years of age or Older
  • Valid Driver’s License and Clean MVD for 36 Months
