Under direction of the Chief Executive Officer (CEO), the Executive Administrative Assistant performs a variety of administrative support tasks in support of HCHD's Executive team members; works collaboratively with other clerical staff members and department directors as necessary for completion of assigned tasks and projects; exemplifies the mission, vision, and core values of HCHD while exercising utmost discretion, diplomacy, and tact in interactions with HCHD staff, trustees, patients/residents, and others.


A few responsibilities of the Executive Administration Assistant include:


  • Excellent communication and interpersonal skills in interacting with HCHD executive team members, and ability to work in a professional and cooperative manner with all levels of hospital staff.
  • Ability to safeguard sensitive and confidential information appropriately.
  • Continuous poise, tact, and diplomacy when working with all levels of healthcare groups, executive staff members, physicians and providers, visitors, and/or others.
  • High level of attention to detail in composing, typing, and proof reading materials; accurate review and reporting of data.
  • Ability to execute priorities proactively, to multitask, and to meet deadlines.
  • Flexibility in work style to accommodate changes in executive team assignments and/or priorities throughout the work day.
  • Dependable in attendance at work and in participating in meetings.
  • Proficient with a variety of computer software applications including Microsoft Word, PowerPoint, Excel, and Outlook.


Education/ Certifications/ Licenses Requirements:


  • High School Diploma Required; Completion of two or four year college academic degree preferred.

Minimum Experience, Abilities Required and Special Requirements:


  • Two or more years of recent office work experience as an Administrative Assistant, preferably serving with company Executives, Attorneys, and/or in hospital/healthcare setting.
  • Prior duties/experience should include: professional interaction with visitors; screening and routing telephone calls appropriately and professionally; maintaining office calendars; preparing meeting agendas, materials, and minutes; scheduling meeting rooms and/or coordinating travel for meetings; maintaining and communicating policies and procedures; and maintaining and ordering appropriate related office supplies.
  • Willingness to be crossed trained to other areas
  • Obtain BLS certification within 30 days of hire.

  • Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier, scanner, and other similar office equipment/machines

  • While performing the duties of this job, the employee is required to sit for long periods of time; stooping, bending, stretching?-as for reaching files and/or supplies?-is required; occasional lifting of objects to 25 pounds is required.
