SCHEDULE: Full-time; Monday through Friday (8:00 am- 4:30 pm) or (8:30 am- 5:00 pm) with overtime as needed. Average 40 hours/week

SCOPE:

Track the Estimated Closing Report and identify which files need assistance in getting items needed to complete the loan closing. Handle inquiries and provide superior customer service to borrower, loan officer, realtors, attorney, etc., to ensure a professional and timely transaction.


ACCOUNTABILITIES:

Closing Duties: (90%)

  • Monitor the Estimated Closing Report to ensure all contacts have been made in obtaining abstracting, title work, and closing numbers.
  • Create tracking procedures and establish deadlines for pre closing title work on each mortgage loan.
  • Create tracking procedures to monitor closing dates and lock expiration dates and adjust closing dates with loan officers as appropriate.
  • Coordinate the ordering and receipt of pre-closing title work in time to work the title issues prior to closing date.
  • Analyze title commitments, abstracts, homeowners association documents, surveys, zoning conditions and legal descriptions.
  • Ensure proper collateral filing and lien positions for mortgage transactions. Ensure that bank will obtain 1st lien position at closing.
  • Develop and maintain positive, professional working relationships with local abstract companies and attorneys.
  • Work closely with local abstract companies and attorneys to ensure timely receipt of pre-closing title work in accordance with state and federal regulations.
  • Work closely with realtors to determine and document the contact information that will be needed by the closer for the seller and buyer side of the transaction, including the realtors, closing companies, attorney, and abstracting company.
  • Send out preliminary closing documents to the realtor or seller that will require the sellers signature before or at closing (1099, CMA, Compliance Agreement), since sellers are not always present at closing.
  • Coordinate with realtors, attorneys, and borrowers on how title will be taken so that the deed and title work are ordered with the proper title.
  • Work with customers, mortgage lenders, attorneys & sellers to resolve any title issues.
  • Order affidavits, releases and corrections to collateral documents when necessary to resolve title issues.
  • Order POA's from attorney when needed. When received, review and approve or request changes if needed.
  • Stay up to date on all compliance regulations regarding title work requirements.
  • Assist the closers with inputting the legal description in loan system, obtaining seller numbers from realtor closing companies, and gathering realtor license information for closing disclosure.
  • Contact borrowers ahead of closing to confirm closing numbers, escrowing, rates and terms, etc.
  • Sending official checks to the loan officer's branch that need to be present at closing.

Other Duties: (10%)

  • Provide superior customer service while building and maintaining relationships with processors, closers, underwriters and lenders. Maintain appropriate vendor contacts and relationships.
  • Assist with Closing projects as needed.
  • Assist with other duties in the Closing Department as needed.
  • Assist in the development of manuals and supporting documentation to accomplish task/duties inherent in this position.
  • Perform other duties as assigned.

EDUCATION AND SPECIAL REQUIREMENTS:

  • Associate's degree or equivalent from a two-year college or technical school.
  • 1-2 years related experience and/or training or equivalent combination of education and experience.
  • Technical training in loan documentation and compliance issues preferred.
  • Extensive knowledge of Microsoft Office and Encompass.
  • This job requires skills needed in a typical office environment. This includes computer skills, communications skills, as well as utilization of office equipment.
