Job Description

The Contracts Coordinator generates legal documents (contracts) for vacation ownership sales and performs related tasks required to complete the transaction in an expedient manner. The Contracts Specialist prepares and helps facilitate the contract for recordation as advised and fields any questions from the sales team.

What will I be doing?

  • Reviews purchase proposals for accuracy and legibility. Follows up with sales sites for corrections and recording errors.

  • Performs data entry on legal contracts between the company and its clients, to include incentive letter preparation and processing down payments.

  • Retrieves credit, loan and account history of prospective clients.

  • Reviews contracts for accuracy (i.e., signatures, address, financing, etc.). Reviews fellow team members contracts for quality assurance and accuracy as needed.

  • Prepares contracts for recordation by making copies and crafting packs for distribution. Copies purchase proposals, club documents, etc. and transmits to appropriate departments.

  • Tracks, monitors and transmits money from sales, cash-outs, etc. Including deposit transmittals. Reconciles daily batch transactions.

  • Prepares opening and closing reports and distributes to the appropriate personnel.

  • Maintains various sales and/or marketing logs.

  • Maintains the Atlas database for accuracy on Marketing personnel.

  • Supports the sales sites as vital to complete paperwork for contracts generated.

  • Assists Sales and Verification departments regarding owner-related issues at point of sale or after.

  • Communicates with sales sites and Corporate departments via email and telephone.

  • Answers telephones, files documents and performs other general clerical duties.

  • Performs miscellaneous data entry and document preparation in support of other departments.

  • Provides outstanding customer service in accordance with the Company Driven to Excellence standards.

  • Consistently maintains the highest standards of professionalism when interacting with fellow team members, management, owners, members and prospects.

  • Operate office machinery (i.e., computer, copy machine, fax machine).

  • Enters owner referrals into the system, and tracks referrals.

  • Completes all required Company trainings and compliance courses as assigned.

  • Adheres to Company standards and maintains compliance with all policies and procedures.

  • Carries out all other related duties as requested by management..

Qualifications

This position requires the capability to understand and follow both verbal and written directions as well as knowledge and usage of accurate business English and office practices. Ability to communicate effectively with others, analyze and resolve issues, maintain effective working relationships, and interact successfully with internal and external customers. To fulfill this role optimally, you possess the following minimum qualifications and experience:

  • High School Diploma or GED.

  • Contracts and/or financial knowledge.

  • Intermediate mathematical skills, including percentage calculations.

  • Ability to type 35 words per minute.

  • Ability to read, analyze and interpret common technical journals, financial reports, professional journals and/or government regulations.

  • Ability to handle very stressful situations.

  • Excellent interpersonal and communication skills.

  • Detail oriented.

  • Computer proficiency in Microsoft Word, Excel and Outlook.

  • Excellent customer service skills.

  • Proficient in time management; the ability to organize and manage multiple priorities.

  • Ability to take initiative and effectively adapt to changes.
