With locations in Minnetonka and Woodbury, we’re growing and looking for a warm, organized, and professional Patient Coordinator to be the face of our front desk and a key part of the patient experience.
About the Role:
As the Patient Coordinator, you’ll be the first and last point of contact for every patient. This role is essential to delivering an exceptional and seamless experience—from check-in to check-out. You’ll handle scheduling, communication, and in-clinic hospitality while supporting our providers and team with day-to-day front desk operations.
Key Responsibilities:
Patient Experience & Hospitality
- Greet patients with warmth and professionalism
- Ensure smooth check-in/check-out processes
- Answer phones, texts, and emails promptly and with a patient-first tone
- Provide product and service information with confidence and clarity
Scheduling & Admin Support
- Book and confirm appointments across multiple providers and services
- Manage last-minute reschedules, cancellations, and waitlists
- Support with pre- and post-care communications
- Process payments, apply packages/credits, and manage invoices accurately
Clinic Coordination
- Keep waiting area tidy and welcoming
- Restock front desk materials and patient forms
- Support providers with timing, room flow, and treatment preparation as needed
- Assist with basic office tasks, printing, organizing charts, and inventory alerts
Qualifications:
- 1–2 years experience in a front desk, reception, or client service role (medical/aesthetics a plus)
- Strong knowledge of skincare and product recommendations
- Professional, polished, and personable
- Strong multitasking, communication, and customer service skills
- Tech-savvy and comfortable with scheduling software (BLVD, Vagaro, or similar)
- Calm under pressure, detail-oriented, and team-focused
- Passion for beauty, skincare, and helping people feel their best
- Continuous skincare and product training will be provided
