Overview

As a Business Center Manager, you will oversee the executive business center, providing office space solutions and business support services. You will be responsible for creating a welcoming environment for our members, managing day-to-day operations, and fostering a strong sense of community.

Responsibilities

  • Management of telephone and internet infrastructure - performs all programming and maintenance of on-premise phone system and internet infrastructure/hardware
  • Financial and revenue management (monthly invoicing, operating budget, expenses, monthly reporting income/occupancy, collections
  • Sales & Marketing - SEO, Social Media, Maintaining website, Google Ads/Analytics, online brokers, etc
  • Contracts / Negotiating for all vendors and tenants/clients license agreements
  • Team leadership - management and development of staff - ongoing training and performance evaluations
  • Responsible for setup of offices for new clients - connections and programming of internet, phones, furniture, etc.
  • Building relationships within the local business community, actively identifying potential members, and creating exceptional experiences for everyone who walks through our doors
  • Communicating with prospective members and conducting tours
  • Hosting onboarding sessions for new members, ensuring they are familiar with the space and its amenities
  • Organizing and hosting events, workshops, and networking sessions to promote member interaction and collaboration
  • Create “wow” experiences and moments for members, bringing a true sense of community and hospitality
  • Fostering strong relationships with members, and becoming their go-to resource for solving any kind of problem that comes up
  • Collaborate with the General Manager to implement retention strategies to ensure high member satisfaction and renewals
  • Seek feedback from members and guests to identify ways to improve the tenant experience and streamline the business center operations
  • Lead and support other members of your business center team to create a great working environment to ensure customer satisfaction and retention
  • Assisting with invoicing of fees and overages
  • Performing supply audits and submitting orders to Supervisor for approval
  • Responding to site facility issues quickly and efficiently; logging maintenance tickets in the system and working with maintenance team promptly resolve issues
  • Completion of opening and closing procedures as well as daily, weekly and monthly checklists to ensure the site is well maintained
  • Administrative functions in the absence of support staff, such as answering phone calls, mail sorting and distribution, scheduling meeting room bookings, brewing and refreshing coffee tea, restocking snack and beverage machines, tidying meeting rooms, and checking for A/V equipment functionality
  • Other duties typically performed by a business center manager

Qualifications

  • High school diploma required. College Degree preferred.
  • Work experience in commercial real estate preferred.
  • Common sense and customer service skills.
  • Ability to operate windows-based PC with Microsoft Word, PowerPoint, and Excel and Internet Access. Ability to complete research via internet as required.
  • Ability to efficiently operate multi-line phone system, and basic office equipment, i.e. postage meter, copier, adding machine.
  • Ability to read and interpret documents such as lease files, amendments, contracts, memos from management office.
  • Ability to communicate effectively with all tenants, associates and contractors in a professional manner.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where limited standards exist.
  • Ability to remain calm and professional in high stress situations.
