POSITION TITLE: RECEPTIONIST
NATURE OF WORK: The individual will be expected to perform semi-skilled reception and administrative work assisting the Section 8 and Public Housing Program. The primary emphasis is as the receptionist providing first contact to both callers and office visitors. Employee is responsible for screening incoming telephone calls and referring calls to other employees when appropriate. Employee is required to receive information from, and provide information to, the public following well-established procedures. In addition, the position involves a wide variety of clerical tasks which requires some independent judgement and knowledge of the office policies and procedures. Some knowledge of data entry is required.
TYPICAL DUTIES: (Illustrative only)
1. Receive and screen phone calls and visitors; gives information on the operation of the office to person seeking assistance; refer callers to other employees, officials or departments when appropriate.
2. Make sure all calls are answered and directed in a timely manner.
3. Monitor lobby, and make sure all guests are acknowledged in a timely fashion.
4. Make sure appropriate forms are stocked at front desk for customer requests.
5. Occasionally performs data entry on office computer system.
6. Check mail drop box first thing every morning.
7. Stamp all outgoing mail, and prepare for pickup. Log and date stamp all documents received by fax, mail, and drop off.
8. Ensure that all copy machines are filled with paper and monitor throughout the day.
9. Organize janitorial and office supplies on large shelves in the kitchen.
10. Keep front desk and lobby area organized and clean.
KNOWLEDGE, SKILLS AND ABILITIES:
- Microsoft Office/Outlook and 35 WPM.
- Has a professional polished appearance.
- Proven customer service skills.
- Has experience with answering phones and transferring calls.
- Ability to multi- task on several on-going tasks/projects through-out day/week and work independently on specific projects.
- Ability to perform clerical tasks such as data entry and filing.
- Ability to perform basic math skills such as adding and subtracting functions.
- Ability to lift 40 lbs. occasionally.
TRAINING AND EXPERIENCE REQUIRED:
Minimum education: High school graduate or equivalent. Minimum of one to three (1-3) years’ progressively responsible receptionist experience.
SPECIAL REQUIREMENTS:
- Selected candidate must possess and maintain a valid Florida driver’s license.
- Selected candidate must be a resident of Brevard County or willing to locate within six (6) months of employment.
SALARY $37,440.00 annual / $18.00 per hour
