What are the responsibilities and job description for the Receptionist position at Housing Works?
Our nonprofit organization is looking for a dedicated Receptionist. The receptionist is responsible for excellent customer service, greeting visitors, answering calls and fielding them accordingly. The ideal candidate has excellent communication and multitasking skills, a positive attitude, and a strong work ethic.
Responsibilities:
Greet guests/staffs as soon as they arrive and connect them with the appropriate department.
Answer the phone in a timely manner and direct calls to the correct staff/department.
Announce arrivals to the staff using the paging system.
Ensure all guests sign-in and manage the privacy of the guest log in book.
Accept deliveries and regular mail and ensure staff is informed by email.
Maintain a logbook for all deliveries. (except food deliveries)
Provide administrative support as needed and approved by the Office Manager.
Maintain the cleanliness of the work desk and reception area.
Stocks coffee, office and printer supplies.
Liaisons with vendors when applicable.
Responsible for the postage and preparing envelopes for staff mailings.
Follows agency policies and procedures (For example, arrive to work on time, maintain consistent attendance, follow the 2 weeks’ notice for vacation time).
Attend and participate in a weekly supervision.
Participates in trainings/workshops to enhance professional and technical knowledge.
Adheres to Housing Works guidelines as prescribed in the employee handbook and other policies and procedures manual.
- High School diploma/GED preferred.
