JOB SUMMARY
At Houston Methodist, the Events Planner position is responsible for initiating, planning, developing, organizing, and executing events for assigned department or area of responsibility. Areas of event responsibility may include employee, donor, consumer, community or patient events. Responsible for coordinating event components such as volunteers, catering, registration, set-up and breakdown and rental arrangements. Generally serves as primary point of contact for vendors involved in event planning and execution. Partners with Marketing and appropriate stakeholders as needed to ensure successful event promotion and distribution of promotional inventories.

PRIMARY JOB RESPONSIBILITIES
Job responsibilities labeled EF capture those duties that are essential functions of the job.

PEOPLE - 25%
1.Fosters and maintains positive working relationships with all stakeholders to support to meet defined event goals. This may include leading planning committees and delegating responsibilities to committee members. (EF)
2.Partners with appropriate stakeholders to ensure the successful development and execution of events. This may include representing the hospital to external organization and corporations, communicating and informing about hospital services, programs and outreach opportunities. It may also require vendor relationship management. (EF)
3.Serves as the primary representative and contact person for community outreach initiatives, hospital or employee events as appropriate. (EF)

SERVICE - 30%
1.Supports operational goals through timely completion of assigned events and projects. (EF)
2.Partners with internal and external stakeholders to ensure the successful coordination of all event components.  This includes volunteer coordination, catering, registration, set-up and breakdown and rental arrangements. (EF)
3.Coordinates with appropriate marketing teams to ensure that promotional communications and materials support established goals and objects and meet brand standards. (EF)
4.Proactively updates stakeholders on event status. (EF)

QUALITY/SAFETY - 25%
1.Ensures event messaging aligns with established goals. (EF)
2.Leads post event follow up sessions for assigned events and identifies opportunities for improvement. (EF)
3.Establishes methods to track event success and gather feedback. Develops and maintains historical data and information for event analysis.

FINANCE - 10%
1.Ensures timely submission of invoices, tracks and adheres to budgets for assigned events. Follows up with budget approvers to ensure payments are accounted for on the appropriate budget year.(EF)
2.Partners with management in the development of event budgets. Evaluates return on investment as appropriate.

GROWTH/INNOVATION - 10%
1.Develops and implements new ideas and best practices for events to meet department goals/hospital goals. (EF)
2.Grows and enhances knowledge of event management.
3.Proactively manages own career development.

EDUCATION REQUIREMENTS
oHigh School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.
oBachelor¿s degree preferred

EXPERIENCE REQUIREMENTS
oFive years experience in corporate event coordination and planning or combination of project management/hospitality with corporate event planning.
oHealthcare experience preferred.

CERTIFICATIONS, LICENSES AND REGISTRATIONS REQUIRED

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
oDemonstrates the skills and competencies necessary to safely perform the assigned job, determined through on-going skills, competency assessments, and performance evaluations
oSufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially with regard to activities impacting patient or employee safety or security
oAbility to effectively communicate with patients, physicians, family members and co-workers in a manner consistent with a customer service focus and application of positive language principles
oSound judgment and decision making
oAbility to work under pressure and balance competing priorities to meet expectations of multiple stakeholders
oExcel proficiency to the degree required by the department in which the position resides, ranging from proficiency to intermediate-level expertise. Proficiency in using presentation software.
oAbility to query and manage large data files for systemwide events as required by department
oAbility to professionally communicate and interact with stakeholders at all levels of the organization 
oStrong project management skills
oStrong attention to detail
