Description
The Receptionist will perform receptionist duties as well as administrative and support activities for multiple functional areas such as project team, office administration, and others. Responsibilities may include preparing reports, preparing and distributing materials via postal service, performing data entry functions. Assist with overflow work from other departments. Must ensure sensitivity to confidential matters. This is a non-exempt position as defined by the Fair Labor Standards Act and subject to overtime.

Routine Duties & Responsibilities
- Answer and direct incoming calls to appropriate individual.
- Greet and assist visitors while displaying a positive demeanor.
- Accept, sign, and notify, employees of packages received.
- Use computer for correspondence/email.
- Send accurate Daily Schedule/Bid Information email to internal contacts.
- Receive, sort, and distribute incoming mail/deliveries.
- Assist employees with outgoing mail by neatly packaging mail and applying appropriate postage.
- Maintain a pleasant appearance of the reception lobby and pantry area.
- Maintain an orderly and organized mailroom, mail folders, and shipping supplies
- Perform general administrative and clerical duties to include but not limited to: Taking meeting minutes, general word processing, copying, mailing, and filing as required.
- Scanning, copying, filing and distribution of project documents.
- Assist with event planning and catering.
- Work independently in a variety of functions from routine nature to special projects.
- Input data into ERP system or other system and review output for accuracy.
- Document distribution and control.
- Maintain general office cleanliness and order.
- Monitor copier function and maintain paper and ink replenishment as needed.
- Notify office manager of needed supplies and stock supplies as delivered.
- Miscellaneous tasks as directed by the Admin Manager.
- Logging, filing and distribution of project documents.
- Maintenance of daily in/out schedule for Project Teams.
Minimum Qualifications
- At least one (1) year of experience as a Receptionist, Front Office Representative or similar role.
- A high school diploma or equivalent is required. An Associate's degree or some college credit in a related field is preferred.
- Professional attitude and appearance.
- Working knowledge of Microsoft Excel, Outlook, Word, Adobe, and similar office software.
- Solid written and verbal communication skills
- Hands-on experience with office equipment (e.g. fax machines, postage meters, copiers, scanners, and printers)
- Customer service attitude.
Working Conditions & Physical Demands
- The Receptionist may routinely sit or stand for long periods of time performing normal duties.
- The receptionist may routinely lift and/or carry moderately heavy objects, and work on repetitive tasks in front of a computer screen, which may strain the eyes of certain individuals, cause chronic joint discomfort, and related issues. Care should be taken to avoid back injuries, eye strain, headaches, fatigue, carpal tunnel, and related syndromes
