What you’ll do
- Successfully creates, administers, and or completes assigned Human Resources related administrative job responsibilities.
- Reviews and responds to email inbox to internal and external customer questions, inquiries, and reports.
- Reviews and responds to phone calls and voice mail messages with a sense of urgency, while demonstrating a high level of customer service.
- Reviews “Pay-Plans” and follows up with GM, Hiring Manager, and Director of Payroll-Benefits to ensure all submitted “Pay-Plans” are compliant with the FLSA (Fair Labor Standards Act) and have been signed.
- Reviews and completes any additional administrative tasks in Paycom to support employees, managers, and direct supervisor. Ensures that employees are set up correctly with correct profiles, employee status, rate of pay, on-boarding completion, EEO, Workers Comp set up, Vac-Holiday-PTO set up, Policies-Procedures-Benefits-Payroll are all set up correctly.
- Upon request, respond to and support employees with questions pertaining to W4, W2, Benefits, Vacation (PTO), Employment Verification, Child Support Claims and other Human Resources related topics.
- Compiles payroll data such as hours worked; sales volume, bonuses, and commissions; monies to be withheld for taxes; employee contributions to insurance and retirement plans; etc., from timesheets and other records.
- Updates master payroll records by verifying and recording changes affecting net wages such as federal and state tax exemptions, insurance coverage, etc., and data concerning compensation increases, promotions, and/or transfer of employees between departments.
- Computes wages and deductions, reviews for accuracy, and posts to payroll records.
- Keeps records of leave pay and nontaxable wages.
- Prepares periodic reports of earnings, taxes, and deductions.
- Prepares/files all hiring and termination paperwork including COBRA letters.
- Maintains records for vacations and sick-day eligibility.
- Processes all employee insurance forms and insurance payments in coordination with the office manager.
- Maintains professional appearance and neat work area
- Is a team player and an active participant during team meetings, conference calls and training activities.
- Support other Peer-HR Generalists, other HR team members and employees by explaining FMLA and other forms of leave of absence; assist with administrative responsibilities and provide guidance to the employee and or managers upon request.
- Serves as a member of the Payroll Team in the accurate and timely processing of the weekly, semi-monthly, and supplemental payrolls along with the import of time files into the Paycom HRIS.
- Review and validate all new hire information in Paycom HRIS
- Manage employee records, including but not limited to, salary adjustments, special payments, tax allocations, employee deductions, PTO balances and garnishments as provided.
- Run 401K deduction reports and process contribution files with record-keeper in a timely manner.
- Assist Director, Payroll and Benefits with data collection for audits.
- Assist with other projects as needed under direction of the Director, Payroll and Benefits on an ad-hoc basis.
- Filing and archiving all payroll-related documentation in an organized manner.
- Complete all relevant training in the Paycom, HRIS system as assigned
- Establish and maintain a positive working relationship with employees, managers, and co-workers to promote a quality service image.
