Service Dispatcher

The Service Dispatcher is responsible for delivering an exceptional service experience to our customers. The individuals in this role must be comfortable and proficient working in a fast-paced, demanding, and technical environment while maintaining a high standard of customer service.

JOB FUNCTIONS

  • Schedule and dispatch HVAC-R Service Technicians geographically and/or by urgency of call, while maintaining fluidity of manpower on the dispatch board.

  • Answer incoming service phone line providing a high level of customer service and value to our customers.

  • Schedule follow-up repairs.

  • Set proper and realistic expectations to customers when communicating ETA’s and/or delays in arrivals.

  • Issue purchase orders.

  • Obtain and provide necessary information/documentation as required by customers for billing (i.e. customer purchase order/requisition numbers, forms, etc.)

  • Maintain a high degree of customer satisfaction to both external and internal customers.

  • Instill trust and confidence in all customers.

  • Work with other departments and supervisor to coordinate manpower transitions as needed to meet current needs.

  • Research building/unit history and warranty information for technicians and Management.

  • Perform rotating duties as the on-call supervisor at an estimated 4-6 times per year.

  • Create new service sites in Service Management and gather customer information for new accounts.

  • Attend all company, office, and department meetings (input expected)

QUALIFICATIONS

  • Technical acumen is required – must be willing and able to develop a working knowledge of HVAC-R.
  • HVAC-R service department experience.
  • Proficient verbal and written communication skills.
  • Ability to remain calm under pressure and work towards deadlines.
  • Ability to handle sensitive and proprietary information with discretion and confidentiality.
  • Proficient in Microsoft Office products: Outlook, Word and Excel.
