IBS, Inc. is seeking a competent Accounts Payable / Office Clerk professional to perform AP plus various administrative and clerical tasks to support our office. We are looking for someone accurate, detail-oriented, expedient, reliable, works steadily, and has excellent communication skills.
You will undertake a variety of activities in the office, in addition to your Accounts Payable duties, including data entry, answering phones, providing administrative support, and offering customer service.
An effective office clerk can help maintain smooth office operations and is familiar with office equipment and procedures.
Responsibilities
- Daily Accounts Payable with 3-way match; sorts receiving slips and vendor invoices, and compares to system PO.
- Weekly AP check/ACH run – select appropriate method at time of run.
- Weekly freight invoices paid via ACH.
- Process invoices in a timely and accurate manner; notify the proper department if/when adjustments are needed.
- Organizing and setting up vendors for the ACH process, and entering them into the system.
- AP reconciliation of vendor invoices, statements, and internal receivers and handles all related correspondence and research.
- Monthly Visa Credit Card reconciliation, expense coding, and posting in the system.
- Daily verification and processing of sales orders entered into the system for outside sales representatives.
- Customer service for vendors, customers, and outside sales representatives.
- Answer phones to assist, take messages, or redirect calls to appropriate colleagues.
- Perform other office duties as assigned.
Requirements and skills
- Accounts Payable experience
- Data entry experience
- Proven experience as an office clerk or other clerical position
- Familiarity with office procedures
- Working knowledge of office devices and processes
- Detail-oriented and good follow-through skills
- Very good knowledge of MS Office with proficiency in Excel, Word, and Outlook
- Excellent communication skills
- Very good organizational and multi-tasking abilities
- Basic accounting experience is a plus
