What are the responsibilities and job description for the Docketing Specialist position at Ice Miller LLP?

The IP Docketing Specialist will assist with entering and maintaining data in the Firm’s docketing database and execute projects relating to the Intellectual Property team. The employee must be capable of working in a fast-paced environment, with time-sensitive materials, and maintain strict confidentiality due to the nature of the position.

Essential Job Duties:

  • Review, analyze and process incoming correspondence and input data in the Firm’s docketing database
  • Prepare and distribute docket reports timely, review for time sensitive responses and to ensure deadlines are being met
  • Enter information from docket sheets and process and maintain new client data
  • Adapt to specific docketing procedures established for each of our clients
  • Research requests using docketing system and other on-line resources
  • Document and execute standard processes for data collection, information creation, access, classification, retention, and disposition
  • Ability to review, analyze and process documents and abide by filing requirements
  • Ensure docketing issues and concerns are appropriately evaluated and resolved
  • Collect, analyze, document and execute business requirements relating to the information lifecycle of legal client and administrative information (physical and electronic data management)
  • Assist with the monitoring and payment of patent annuities and maintenance fees
  • Assist with IP projects and other related items as needed
  • Liaise with clients and foreign agents regarding deadlines, status of application and filing details
  • Send reminders to IP team regarding upcoming deadlines
  • Open new records in docketing database


Minimum Requirements:

  • High School Diploma required
  • Associates degree in relevant field such as IT, Computer Science, Information Management, Knowledge Management or Library Services preferred
  • Knowledge of USPTO rules and processes and docketing requirements
  • Knowledge of U.S. Patent terminology, prosecution procedures, and deadlines for both US and foreign intellectual property matters.
  • Experience with intellectual property software systems, including CPi.
  • Three years of docketing experience required
  • Law firm experienced preferred
  • Ability to learn technology applications relevant to records and information management systems
  • Exceptional attention to detail
  • Professional customer service skills ability to communicate with all levels of the organization
  • Ability to learn new tasks quickly and work independently or as a part of a team
  • Excellent decision-making skills and ability to recommend appropriate decisions
  • Ability to research and analyze various types of data
  • Ability to maintain confidentiality
  • Ability to organize and prioritize work, handle multiple projects and meet deadlines
  • Proficient in Microsoft Outlook, Word and Excel
  • Must be able to perform all essential duties
