IMI is seeking a full-time Construction Administrative Assistant for our Watkinsville, GA office.
Essential Functions
The Construction Administrative Assistant will focus on processing and forwarding completely prepared Project Manager's estimates, managing customer correspondence, and assisting the Field Services Manager.
- Issue quote numbers and forward MS Outlook calendar requests to required parties
- Prepare project management quotes, assuring each are grammatically correct and free of spelling errors
- Validate that estimates are error free by following the standardized review processes
- Record pertinent information from the quotes in database
- Record & enter information in contact database
- Scan and archive quote packages after submitted to the customer
- Facilitate transfer of information between customer and appropriate party
- Assist Management, Project Managers and Field Services Manager, as needed
- Perform additional tasks, as assigned
- Minimum of a high school diploma, but an Associate's degree in a related field is preferred
- Knowledge of construction is preferred, but not required
- Administrative background is required
- Relative work experience in preparing quotes/Bid Packages in the construction industry is preferred, but not required. This includes the ability to review bid documents, print bid packages, obtain bid information, and complete the bid for submission
- Ability to multitask, as well as prioritize tasks within a strict deadline, while still being detail oriented
- Ability to function in a fast-paced environment
- Advanced skill level for operating Word, Excel, and Outlook required.
- Advanced data entry skills and ability to type 45 wpm preferred
- Strong/advanced grammatical and mathematical skills
- Sitting for extended periods of time
- Manual dexterity needed for repetitive tasks and operating standard office equipment
- Lift and carry materials weighing up to 25 pounds
