IMS is currently searching for a professional, compassionate and knowledgeable individual to fill the position of Operations Coordinator for our Cardiology department. This position is responsible for providing direct support to the Scheduling Supervisor for provider scheduling. Creates provider schedules and coordinate provider schedules changes, schedules in-patient procedures, and all other duties as assigned. Instills the IMS mission, vision and values in the work performed.

Responsibilities:

  • Provides clerical support with patient/clinic notification and documentation, X-Rays, hospital records and any previous care pertaining to the patient visit. Provides complete and accurate information necessary for billing related to the patient encounter in a timely fashion. Other duties include scheduling follow up appointments with patients
  • Submits prior authorizations for the clinic including medications, procedures, and EEGM's. Coordinates and manages patient care including pre-certifications, referrals, authorizations, prescriptions and scheduling of patients for clinic, hospital ad any other ancillary medical treatment and tests.
  • Assists with provider schedules, including, but not limited to creating, blocking and adding slots. Assisting with the rescheduling of appointments when blocking and/or freezing schedules and/or emailing the team with the list of patients to schedule.
  • Assist in answering high volume phone lines.
  • Assist in training staff when needed, both clinical and administrative staff.
  • Provides clinical support when coverage is needed in clinic - Prepares patient for exam and treatment by taking and recording vital signs, symptoms and other necessary measurements and recording chief complaint; documents pain scores as appropriate and charts in electronic medical records accurately and efficiently. Assists providers with exams and minor in office procedures and acts as a chaperone as needed.
  • Performs a variety of office-based testing and treatments related to patient care under clinician's supervision, including injections, aspirations, and other procedures as needed. May administer medication in accordance with established policies, and procedures or as directed. Uses universal sterile technique and personal protective equipment as always needed to ensure compliance with OSHA regulations.

Job Requirement/Education

  • High School Diploma or GED
  • Medical Assistant diploma from an accredited college or university preferred
  • At least 3 years' experience as a Medical Assistant
  • Prior supervisory experience preferred
  • Experience with office medical procedures and treatments and knowledge of insurance, managed care operations, EMR and scheduling software
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Ability to prioritize tasks and to delegate them when appropriate
  • Ability to function well in a high-paced and at times stressful environment
  • Excellent time management skills with a proven ability to meet deadlines
  • Proficient with Microsoft Office Suites or related software
  • Requires exceptional interpersonal and communication skills, ability to interact with people from different background and cultures
  • Requires the ability to manage multiple changing priorities in an effective and organized fashion
  • Mush have knowledge of and always follow HIPA guidelines and secure Protected Health Information
  • The ability to work in a constant state of alertness and safe manner

Experience

Preferred
