Position Overview
Looking for a highly organized, proactive, and detail-driven Executive Assistant. This role requires an individual who thrives in a fast-paced environment, anticipates needs, maintains confidentiality, and delivers high-quality administrative and operational support. The Executive Assistant will serve as a critical point of contact for both internal and external stakeholders, ensuring that the executive’s time is effectively managed and that all administrative functions are performed seamlessly.

The successful candidate will be instrumental in supporting executive productivity, coordinating complex schedules, and contributing to the overall efficiency of the organization.
Key Responsibilities
Executive Administrative Support
- Maintain and manage daily and long-term calendars for senior executives, including the coordination of internal and external meetings, conference calls, and events.
- Proactively resolve scheduling conflicts and optimize time management for executives.
- Prepare, review, and edit high-level correspondence, reports, spreadsheets, presentations, and other business documents.
- Serve as a liaison between executives and internal departments, external partners, board members, and other stakeholders.
- Handle confidential information with the utmost integrity and discretion.
Meeting Preparation & Coordination
- Organize and coordinate all aspects of meetings, including scheduling, agenda creation, presentation material preparation, and logistics (virtual and in-person).
- Attend meetings as requested, take accurate meeting minutes, and track follow-up action items to ensure timely completion.
- Assist in organizing off-site meetings, board sessions, and leadership retreats.
Travel & Expense Management
- Plan and coordinate complex travel itineraries including flights, accommodations, ground transportation, and any special travel needs.
- Monitor travel schedules and make last-minute adjustments as necessary.
- Prepare and submit accurate expense reports, reconcile receipts, and ensure timely reimbursement processing.
Communication & Liaison Support
- Serve as the first point of contact for inquiries directed to the executives, using discretion to triage and respond appropriately.
- Draft and proofread email communications, memos, and internal announcements on behalf of the executive team.
- Maintain a professional and courteous demeanor in all interactions and represent the executive office with poise and confidentiality.
Operational and Project Support
- Maintain well-organized electronic and paper filing systems for easy access to important documents.
- Assist with planning and coordination of corporate events, team meetings, and special projects.
- Support internal initiatives and cross-functional projects, ensuring timelines and deliverables are met.
- Provide backup support to other administrative team members when needed.
Qualifications & Skills
- Education: Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
- Experience: A minimum of 3 years of experience in an Executive Assistant or high-level administrative role, preferably supporting C-level or senior leadership.
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with virtual meeting tools

Job Type: Contract
Pay: $25.00 - $30.00 per hour
