Infoblox is seeking a Talent Acquisition Coordinator to join our amazing Talent Acquisition team. Responsibilities:

  • Recruiting Support:
    • Schedule interviews, communicate interview details, and host interview visits to ensure the interview is set up for success and the candidate’s process goes well, including keeping the schedule on track, organizing logistics and facilitating the agenda
    • Build strong working relationships with recruiters, hiring managers and candidates providing a high touch experience for all
    • Organize candidate travel as needed (Hotel, Flights, expenses, etc.)
    • Become an expert user of our Applicant Tracking System (ATS), Jobvite, to close requisitions, edit requisition details, schedule interviews, collect evaluation forms, send offer letters, upload resumes, and more
    • Become an expert user of our Human Capital Management tool, Workday, to assist recruiters with opening, editing, and closing positions
    • Facilitate the offer acceptance process with the recruiter to prepare for onboarding the new hire by drafting offers letters and pre-employment documentation for the recruiter and new hire
    • Order background checks and ensure other pre-hire requirements are complete
    • Assist with the Internal Transfer process for current employees moving within the company
    • Maintain our HR system support programs including DocuSign, Workday, company intranet, etc. 
  • Onboarding Support:
    • Deliver New Hire Orientation on a weekly basis
    • Coordinate first day assimilation logistics as part of the new hire’s onboarding program, including welcome balloons and gifts
    • Create and ensure all pre-hire documents and tasks are complete prior to a new hire’s start date, including signed offer letter, confidentiality agreement, system approvals, manager tasks, and new hire tasks to facilitate a smooth onboarding experience
    • Enter new hire details into Workday to create the employee record
    • Send communication emails to the new hire, manager and buddy to aid in the new hire’s preparation
    • Pull new hire reports and employee referral reports regularly for quarterly tracking
    • Welcome new hires and act as point of contact for new employee questions
    • Collect post hire paperwork and ensure new hire tasks are complete within Workday
    • Assist in hiring and terminating contingent workers for a smooth on and off boarding experience for management to ensure ACA compliance
    • Assist with Immigration cases as needed, including posting jobs, and administrative tasks along the process
    • Assist with inventory management of new hire supplies
  • Administrative:
    • Participate in various HR and recruitment projects as needed
    • Provide general administrative support to the Talent Acquisition Team
    • Assist with payment of invoicing and purchase orders for vendors
    • Assist and aid the HR team in various employee and management events, as needed
    • Adhere to the highest degree of professionalism and strict confidentiality on matters that require discretion

Requirements:

  • 2-7 years of experience working in a professional corporate environment
  • Computer savvy, proficient experience in MS Office
  • Ability to work with many types of personalities
  • Experience with high volume of scheduling
  • Experience with Jobvite, or another applicant tracking system
  • Excellent verbal and written skills
  • Ability to prioritize competing request with professionalism

Education:

  • Bachelor's degree from a four-year college or university
