Key Responsibilities
Executive & Administrative Support
Manage the CEO’s calendar, including scheduling internal meetings, licensing visits, and external engagements.
Draft, review, and edit professional correspondence, reports, board materials, and presentations on behalf of the CEO.
Organize and maintain confidential records and administrative files in compliance with HIPAA and Florida Department of Children and Families (DCF) requirements.
Screen calls and emails; prioritize incoming requests and respond as appropriate.

Support preparation and follow-up for audits, site reviews, board meetings, and strategic initiatives.
Maintain systems for tracking key performance indicators (KPIs) and project outcomes.

Prepare agendas, attend leadership meetings, and capture accurate meeting minutes and action items.
Coordinate logistics and materials for staff retreats, trainings, and community engagement events.
Follow up with team members to ensure timely completion of assigned tasks and projects.

Communication & External Relations
Serve as the CEO’s liaison with board members, agency partners, donors, and government officials.
Draft internal announcements, formal statements, press releases, and donor acknowledgments.
Represent the CEO’s office with professionalism, cultural sensitivity, and confidentiality at all times.

Qualifications
Education & Experience
Associate’s degree required; Bachelor’s degree in Business Administration, Human Services, or a related field preferred.
3–5 years of experience providing executive-level support, ideally in nonprofit, foster care, behavioral health, or social services settings.

Strong organizational and multitasking abilities with a sharp attention to detail.
Proficient in Microsoft Office Suite, Google Workspace, Zoom, and digital document management systems.
Excellent communication skills—written, verbal, and interpersonal.
High level of professionalism, discretion, and emotional intelligence.
Familiarity with trauma-informed care and youth-serving systems is a plus.
Strong organizational and multitasking abilities with a sharp attention to detail.
