Job Type: Part-time; 40 to 56 hours per pay period (every two weeks)
Work Schedule: Regular work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Work Setting: On-site; requires regular, in-person attendance
FLSA Status: Non-Exempt
Union Affiliation: Teamsters Local 320 Courthouse
Compensation
- Expected 2026 Hiring Range: $25.50 - $27.19 per hour ($53,040.00 - $56,555.20 annually), depending on qualifications, relevant experience, and internal equity.
- Full Range: $25.50 – $32.93 per hour ($53,040.00 – $68,494.40 annually), with the potential for additional longevity-based pay.

General Definition of Work
Performs administrative work preparing and processing files, assisting the public in the Sheriff’s Office, processing various permits, conducting necessary background checks, resolving suspense records, maintaining records and files, developing and implementing record procedures, monitoring the office workflow and associated deadlines, and related work as apparent or assigned.
Work is performed under the supervision of the Sheriff’s Office Records Supervisor.
Essential Functions

- Assists public that come into the lobby at the Sheriff's Office.
- Processes permits to purchase and permits to carry for residents of Isanti County.
- Conducts required annual background checks on Permit to Carry holders in the County.
- Resolves suspense records for the County Sheriff's Office by utilizing criminal history records, court records, and in-house records.
- Prepares files for service of civil process by opening, processing, and preparing papers; enters source requesting service; enters who is to be served, and deadline, if any; collects appropriate fees and creates invoice for payment; ensures requests for service.
- Maintains Master Name Record Files by utilizing the utilities provided by the records management system.
- Crime Reporting to the BCA.
- Review and update all incidents to ensure all data is properly entered.
- Electronically submit citations to Court Administrator.
- Validate all entries to state and federal databases.
- Prepare daily reports for media and other vendors.
- Handle data requests.
- Transcribe reports and statements.
- Order office supplies.
- Performs other related duties as assigned.
Minimum Qualifications
- High School diploma or GED and moderate experience in oral and written communication, computer software applications and search engines, customer service, or equivalent combination of education and experience.
- Must possess and maintain a valid driver's license.
Special Qualifications
- Must meet and maintain all training and education requirements for position.
- May require possession of, or ability to obtain, specific licenses and/or certifications depending on departmental assignment.
Required Knowledge, Skills, and Abilities
- Knowledge of records department procedures, policies and procedures.
- Knowledge of the Criminal Justice Information Services (CJIS) reporting system.
- Knowledge of the Minnesota Government Data Practices Act.
- Knowledge of English grammar, spelling, and usage.
- Knowledge of Minnesota Data Practices Act for release of information.
- Skill in operating a variety of office equipment, including transcriber, typewriter, calculator, and computer.
- Ability to understand and follow oral and written instructions.
- Ability to make decisions in accordance with precedents and regulations and to apply these to work situations.
- Ability to organize work efficiently.
- Ability to apply and explain pertinent policies, procedures, and regulations.
- Ability to maintain records and to prepare detailed reports.
- Ability to accept responsibility, take initiative, and work independently to accomplish the goals assigned.

Physical Requirements and Activity
This work requires the occasional exertion of up to 25 pounds of force; work regularly requires speaking or hearing and using hands to finger, handle or feel and occasionally requires standing, walking, sitting and reaching with hands and arms.

Work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels.
Sensory Utilization
Work requires preparing and analyzing written or computer data and observing general surroundings and activities.
Environmental Conditions
Work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
