The Trust Associate supports the trust department and investment services department in a variety of ways. The Trust Associate is a key member of the trust team, collaborating directly with our clients, attorneys, third parties, and colleagues. The Trust Associate is responsible for performing a variety of diverse administrative functions while delivering excellent customer service. Some of the key responsibilities the Trust Associate is tasked with is land trust administration, trust operations support with daily disbursements and long-term projects, and investment services support. This role entails adapting and championing the Itasca bank & Trust culture, values, and business practices.
Essential Functions:
- Land trust client relationship management: engage with customers, handle requests from start to finish; resolve issues in a timely manner while ensuring customers are well informed of the status of their requests and/or issues that may arise.
- Conduct new land trust customer onboarding; including account set-up, monitoring receipt of pertinent account documentation as well as updating Land Trust as changes occur.
- Prepare and deliver monthly invoices to customers for fees incurred on a timely basis.
- Process and respond to legal notices such as levies, garnishments, and subpoenas for both land trust and the bank.
- Prepare and track investment reviews, asset allocations and coordinate review with Trust and Investment Services Administrators; ensure required account information is collected and appropriately updated into the appropriate platform/s.
- Post payments to customer account
- Reconcile customer accounts and resolve any discrepancies.
- Prepare trust reports including, but not limited to, monitoring status of land trusts that require renewal, closed accounts that require finalization, and status of litigation.
- Provide support to customer’s legal representatives in creating, maintaining, and completing the required land trust documents.
- Develop and maintain standard operating procedures.
- Ensure customer documents are maintained, accurate and in compliance with the current retention policy.
- Continuously look for opportunities to streamline and improve processes.
- Provide notary services bank wide.
- Support internal, external, state and FDIC audit requests.
- Cross-train and support trust operations.
- Cross-train and support investment services.

Work Environment:
This job operates in a bank branch office. It is a professional environment. Currently this position is fully in person. As the role evolves, hybrid work may be available.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand, walk, type, feel and reach with hands and arms. Prolonged periods of sitting/standing at a desk and working on a computer.
Required Education and Experience:
High School Diploma or GED
3-5 years of experience in any of these areas (Land Trust, Real Estate Closing Document Specialist, Real Estate Legal Assistant or Paralegal)
Notary for the State of Illinois in good standing

Preferred Education and Experience:
Associate’s or bachelor’s degree in business law or legal studies
