Position Summary Information

General Information
The Department of Psychology is accepting applications for a full-time Fiscal Technician which provides support to the Psychology Academic Unit Head, two Assistant Department Heads, faculty, students and visitors. This position will be responsible for coordinating financial and personnel functions for the department.

Duties and Responsibilities
  • Maintains computerized accounting of the operating budgets of the Educational and General Programs (E&G), differential tuition, foundations and indirect cost budgets.
  • Enters all transactions on a database program, reconciles budgets monthly and provides summaries.
  • Maintains school credit card, makes purchases, checks receiving reports.
  • Oversees purchasing including eVA (Virginia’s eProcurement Marketplace) procedures.
  • Requests service on all office machines to keep them in good working order.
  • Coordinates faculty travel to include database of faculty travel, as well as, oversees process of and/or prepare travel authorizations and travel reimbursements. This will include making necessary registrations, memberships, reservations, and possible car reservations.
  • Independently responds to routine inquiries about hiring and personnel.
  • Prepares all departmental electronic personnel action requests (ePARs) and pay action worksheet (PAW) forms.
  • Works with HR to oversee position recruitment and postings.
  • Maintains all department personnel records and interfaces with HR; serves as a resource of information and makes referrals to HR for newly hired faculty and staff.
  • Oversees student, Graduate Assistant and part-time staff hiring paperwork and processes.
  • Attends faculty meetings.
  • Initiate newly funded grant budgeting, purchasing and spending following grant guidelines and those from JMU’s Office of Sponsored Programs.
  • In collaboration with laboratory coordinator, implements Equipment Trust Fund (ETF) process to include planning, ordering, and purchasing.
  • Coordination of departmental calendar, scheduling and assisting with special department events, and maintains website.
  • Assists with event management (e.g., Awards ceremony, departmental lunches, receptions). This includes making room reservations, coordinating with catering, and supporting the faculty who are planning the event.
  • Maintains records related to university advancement and scholarships and awards.
  • Maintains and updates award plaques.

Qualifications
  • Familiarity with MS Office programs, including Outlook, Word, Excel, and PowerPoint.
  • Experience working with PeopleSoft’s Finance and HRMS modules, ePAR, AIM, and the eVA online procurement system is preferred, or a demonstrated ability to learn new systems quickly.
  • Familiarity with or willingness to learn PeopleSoft’s System Administration module.
  • Experience with Chrome River or a comparable expense management system is preferred.
  • Excellent oral and written communication skills.
  • Ability to organize and prioritize multiple tasks.
  • Attention to detail and high level of accuracy.
  • Ability to handle confidential information appropriately.

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.

The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
