Overview:
Under the guidance of the Clinic Manager, the Assistant Manager upholds and exemplifies the highest standards of professionalism, etiquette, and service at Javan Anti-Aging & Wellness Institute. This role is responsible for overseeing daily operations, enhancing the client experience, managing staff, and supporting marketing initiatives to ensure the clinic's success.
Key Responsibilities:
Customer Service & Client Experience:
- Greet clients warmly, ensuring a welcoming and professional environment.
- Respond promptly and professionally to client inquiries, concerns, or complaints.
- Oversee scheduling, check-ins/outs, and client flow to maximize satisfaction.
- Resolve guest challenges with effective, consistent solutions, maintaining high service standards.
- Maintain comprehensive knowledge of all treatments, products, pricing, and promotions.
Staff Supervision & Training:
- Support hiring, onboarding, and training of staff to ensure quality service delivery.
- Lead by example, demonstrating proper etiquette and professionalism.
- Schedule staff shifts, monitor performance, and provide ongoing coaching and feedback.
- Conduct on-going training to keep staff updated on protocols, treatments, and product knowledge.
- Foster a positive, collaborative work environment.
Operational Management:
- Oversee daily front-of-house activities, including sanitation, safety, and operational efficiency.
- Manage inventory levels and coordinate supply orders.
- Ensure compliance with all industry regulations and safety standards.
- Review weekly schedules, monitor productivity, and analyze marketing and sales data.
- Assist in opening and closing procedures for seamless operations.
Financial & Administrative Duties:
- Support retail sales, promotions, and merchandising efforts.
- Process payments, refunds, and transactions accurately.
- Track sales performance and prepare reports on revenue, inventory, and staff productivity.
- Maintain accurate, confidential client records and vendor relationships.
- Assist with budgeting, expense monitoring, and ensuring adherence to financial targets.
Marketing & Promotion Support:
- Contribute ideas to marketing campaigns, events, and social media efforts.
- Assist in maintaining the clinic’s digital presence and promotional materials.
- Help evaluate marketing initiatives' effectiveness and recommend improvements.
Leadership & Miscellaneous:
- Act as the second-in-command, stepping in during the Clinic Manager’s absence.
- Promote teamwork, a positive work culture, and ongoing staff development.
- Stay current on industry trends, treatments, and best practices.
- Attend all required meetings, training, and professional development sessions.
Qualifications & Skills:
- Must Have: Experience in a Med Spa environment.
- Associates degree in Business or related field, or equivalent experience.
- 1-2 years of managerial, sales, or customer service experience, preferably in a Med Spa or hospitality setting.
- Excellent communication, problem-solving, and decision-making skills.
- Ability to respond to concerns with professionalism and urgency.
- Proven ability to develop, coach, and motivate staff.
Work Details:
- Shifts may include day, evening, morning, or 8- or 10-hour schedules.
- In-person role based in Washington, DC (relocation required before starting).
- Attendance at all scheduled meetings and trainings is mandatory.
