What are the responsibilities and job description for the Front Desk Receptionist position at Jewish Family Service Agency?

Jewish Family Services Agency is looking for a Front Desk Receptionist to join our team.

This position is Monday – Friday ( 8:30a -5pm )

JFSA provides a comprehensive array of services for older adults, with the goal of helping them remain healthy, active and independent in their own communities.

Job summary: Responsible for handling multiple tasks simultaneously including answering phones, greeting clients and donors, accepting donations and assisting staff with various tasks.

Key Responsibilities of the job:

1. Engage phone system in the morning. At close of day verify the automatic transfer of phones from standard day mode to unattended “night mode”.

2. Answer and route all incoming calls, taking and distributing messages

3. Scheduling intakes and counseling appointments, assessing and/or handling emergency/crisis calls as needed

4. Greet all guest and provide them with the appropriate paperwork and promptly informing staff of their arrival.

a. For food pantry clients - collect completed intake form, copy of driver’s license and proof of residency. Once received from client, provide them with their ticket number and then enter their information into the HMIS system.

b. For counseling clients – verify who they are here to see, check provider schedule to verify appointment, pull the super bill, have the client sign it and collect the fee.

c. First-time client, make sure that intake paperwork is either received or provided to them for completion and returned. If using insurance be sure to make a copy of driver’s license, insurance card (front and back) to place in the client file.

d. If Holocaust Survivor-check the claims conference coordinator schedule to verify appointment and then contact the coordinator to notify them that their client has arrived.

e. If emergency assistance client- check the emergency assistants schedule to verify appointment and then notify the assistant that the client has arrived.

5. Generate daily food pantry reports and provide this information to the food pantry manager.

6. Accept payments/donations for services, completing the money receipt envelope, noting where the payment is to be credited, the amount of the payment, the donor/client’s name, the amount, type of payment.

Envelopes along with the cash drawer verification form need to be given to the revenue and billing manager at the end of day.

7. Provide receipts for fees collected for service/ donations.

8. Operate general office equipment including postage meter, credit card machine, fax machine and copier.

9. Distribute faxes received

10. Sign daily cash verification form upon receiving it from the revenue and billing manager in the morning after counting the cash and verifying balance.

11. At close of day provide signed cash verification form along with the cash envelope to the revenue coordinator for verification and place in the safe.

12. Follow the counseling intake process and procedure when completing a counseling intake call. Copy all counseling intake information and forward to the revenue and billing manager daily.

13. Maintain a weekly spreadsheet of all counseling intakes and provide it to the revenue and billing manager.

14. Attends and participates in agency/community meetings and educational events as assigned.

15. Honors confidentiality and professional standards

16. Demonstrates an ability to work with other staff, professional contacts, and community person on behalf of JFSA.

17. Performs other task as assigned.

Minimum requirements

1. High school diploma or equivalent.

2. Computer literate and proficiency in Microsoft products including Word, Excel and Outlook.

3. Knowledge of the internet and basic math skills.

4. Organized and task oriented.

5. Professional, presentable, and able to work with people all demographic background.

6. Flexible and able to multi-task and meet deadlines.

7. Understanding of confidentiality and HIPAA.

8. Ability to handle interruptions

Job Type: Full-time

Pay: From $14.00 per hour

Schedule:

  • 8 hour shift
  • Monday to Friday

  • front desk receptionist: 2 years (Preferred)
