JOB SUMMARY The Billing Administrator/Receptionist plays an important role in the day-to-day operations of the company’s billing department, and in our administrative and customer support efforts. This position is responsible for the input and accuracy of various data components that produce our customer and internal invoices. Additionally, this role is responsible for providing a front-line voice and face to our customers and guests, greeting them on the phone or as they enter our facility and directing them where they need to go.
JOB DUTIES (Essential functions bolded)
- Processing work orders (opening, tracking, scanning, posting labor, verifying accuracy of all equipment data, typing description of work performed, routing for approvals, etc.)
- Monthly reconciliations and record updates
- Answer telephones and route calls
- Take customer calls for service, gather all the necessary information for the Service Dispatcher to be able to assign the work to a technician.
- Open work orders in our computer system
- Take technician calls and open the work order to the proper customer, object and service type
- Collect, track and post technicians’ timecards
- Scan completed job tickets and timecards
- Type comments from job tickets into work order system
- Route work orders to appropriate JIT managers for approval before invoicing
- Process specific large customer invoices
- Invoice lease maintenance contracts
- Contact customers to obtain purchase order numbers
- Compile reports on a weekly or monthly basis, as needed
- Greet visitors, ascertain nature of business, and direct visitors to appropriate person
- Operate office machines: Scanner, copier, fax machine, postage machine
- Seek to improve efficiency of all office operations to reduce administrative staff workload and assist them in achieving their departmental goals
- May assist in the creation of marketing, direct mail pieces or similar tasks

EXPERIENCE
- At least three years of related experience.
EDUCATION
- High school diploma or GED
- Some college coursework preferred.
