This Administrative Assistant position is located in the Space Exploration Sector (SES) in Laurel, MD. The position supports the newly formed Space Algorithms and Technology group where we pioneer the algorithms, technologies, and concepts for the future of National Security Space!
As a Group Administrator, you will perform wide range of administrative functions in support of group operations. Such duties include but are not limited to:

Over the past 25 years, the Space Exploration Sector at APL, has pushed the boundaries of what is possible; delivering game-changing impacts to sponsors like NASA and the Department of Defense. This includes historic, science space firsts like New Horizons reaching Pluto, Parker Solar Probe being the first to “touch” the sun, and the DART mission that redirected an asteroid for planetary defense. As a not-for-profit university affiliated research center, APL also delivered solutions to our nation’s national security challenges, as proven with the recent Deep Space Advanced Radar Concept (DARC) Tech Demo, and acts as a trusted partner with the US Space Force in space domain awareness and space-integrated warfare.
APL teams are currently developing missions that will advance the search for life in the Solar System through programs such as Europa Clipper and Dragonfly, exploring the lunar and cislunar domains, and providing fundamental knowledge of our Sun’s influence on the near-Earth environment through IMAP and other research and technology endeavors. This Administrative Assistant position is located in the Space Exploration Sector (SES) in Laurel, MD. The position supports the newly formed Space Algorithms and Technology group where we pioneer the algorithms, technologies, and concepts for the future of National Security Space!
As a Group Administrator, you will perform wide range of administrative functions in support of group operations. Such duties include but are not limited to:
- Support travel arrangements for group staff, preparing authorizations and expense reports.
- Support group staff with reserving and managing entry to classified spaces for meetings. Assist with reserving conference rooms. Help with organizing and scheduling meetings.
- Process procurement requests and assist with inventory for group laboratory spaces. Add, track and manage group overhead, capital budgets, and equipment budgets.
- Generate and distribute technical memoranda. Support preparation by reviewing, typing, proofreading, and editing in accordance with standards, guidelines, and sector procedures.
- Archive memoranda, reports, letters and presentations. Organize and maintain electronic and hardcopy office files and logs.
- Process procurement requisitions for goods and services including with group credit card (P-card) and complete reconciliations within prescribed timeframes.
- Acquire office furniture and supplies.
- Assist with record keeping and administration of group staff training records.
- Coordinate surplus and manage property records for group.
- Administer incoming/outgoing mail and shipments.
- Submit staff requisitions into the lab recruitment system.
- Contribute to morale by assisting in planning events and coordination activities for the group.
- Generate facility work requests for office moves and modifications.
- Complete other duties as assigned.
Qualifications
You meet the minimum qualifications for the job if you:
- Have a High school diploma or equivalent
- Have three or more years of relevant secretarial and/or administrative experience
- Ability to effectively communicate orally, in writing, and have interpersonal skills (must communicate and work effectively with others) and are able to recognize and correct grammar, spelling, punctuation, and logical organization errors.
- Ability to work on complex and multiple administrative tasks, and willing to take on additional work/challenges and develop new skills.
- Ability to multitask and solve problems, while paying attention to detail.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook), and Adobe Acrobat Pro.
- Work independently and prioritize assignments.
- Are able to obtain a Secret security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

- Have an Associate’s degree.
- Have administrative experience within APL and are knowledgeable with APL practices and procedures, including travel, purchasing, security, and budgetary interactions.
- Have familiarity with APL staff, sponsors, and programs.
- Have an active clearance
