We are currently seeking a highly organized and detail-oriented individual to join our team as an Office / Accounting Administrator. In this role, you will play a crucial part in managing various administrative tasks, ensuring the smooth flow of operations in our office. Responsibilities
Purchase Orders:
- Verify work codes and tax status.
- Enter sales tax, freight, surcharges, etc. into Quickbooks.
- Upload copies to Quickbooks and file in the "Open PO" Binder.
Bills Entry:
- Match quantity, product, and pricing for bills.
- Enter bills in Quickbooks with accurate references.
- Upload copies of invoices and delivery tickets.
- File bills, POs, and delivery tickets in the "Unpaid Invoice" binder.
Vendor Check Processing:
- Copy pay stubs accompanying vendor checks.
- Stamp and file bills in the "PAID" binder.
- Mail checks with original pay stubs.
Office Management:
- Answer phones and greet visitors.
- Order office supplies and safety items.
- Organize and plan office events.
- Manage Sunshine Club activities.
Subcontractor Insurances & W-9s:
- Input subcontractor details in Quickbooks.
- Attach insurance certificates and W-9s in vendor accounts.
Payroll:
- Collect and review timesheets from employees.
- Input hours, PTO, and expenses into weekly payroll spreadsheet.
- Coordinate with relevant personnel for accuracy.
- Submit payroll to Payroll Processor and enter within Quickbooks.
Qualifications:
- Previous experience in office administration or related field.
- Proficiency in Quickbooks and Microsoft Office Suite.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Effective communication and interpersonal skills.
