Position Summary:
This Construction Office Coordinator position is the entry level for the Engineering Technician class series and is located in Wichita, KS. Successful candidates may be appointed at a higher-level dependent upon experience and qualifications. This position assists construction personnel in executing the continuous flow of paperwork and documentation necessary to administer contracts.
NOTE: The employee in this position must also maintain Certified Inspection certifications under the KDOT CIT Program as outlined in the Engineering Technician Progression Manual for the specific job path and any additional as outlined by the Senior Manager.
Job Responsibilities may include but are not limited to the following:
- Coordinates preparation and submission of weekly construction reports, notification of working days charged, log of pile driving, and weekly surfacing reports. This position also collects and transfers data from source documents to update the Construction Management System (CMS) and coordinates finalization of projects through navigation in CMS.
- Maintains a system of office management that ensures that all necessary forms and reports are submitted and prepares documents using Microsoft Office software and KDOT Forms Warehouse for the Construction Engineer.
- Coordinates preparation and submission of Contractor’s monthly and semi-monthly payment vouchers, change in plans, and force account statements, and checks and maintains records on wage rates, contractor payrolls, affidavits, and EEO reports.
- Coordinates the preparation and submission of all required computations, recapitulations, and documentation necessary to process change orders and complete final payments to the contractor, reviews materials certifications to ensure that all materials in the project have been properly tested and accepted, and assists the Construction Engineer with any research duties as assigned to resolve materials documentation issues.
- Maintains and updates a complete functional filing system for all office records and coordinates preparation and submission of completed construction plans and combines construction files for all assigned projects.
- Submits payroll confirmations, equipment time and employee time distribution reports and travel expenses as required. This position also screens and refers callers and visitors, provides information on services and functions or makes referral to the appropriate personnel, and operates snowplow trucks to fill in at various locations as needed.
Qualifications:
- Valid Driver’s License at time of appointment.
Post-Offer/Pre-employment Requirements:
- A CDL must be obtained within 90 days of hire and maintained. KDOT provides CDL training at no cost to the employee.
- This position is subject to pre-employment physical testing. The selected candidate will be required to pass the screening as a condition of employment.
- This CDL position is subject to drug and alcohol testing under the authority of the US Department of Transportation. The selected candidate will be required to pass a DOT pre-employment/pre-duty drug test as a condition of employment in this position. (This position will also require you to participate in random testing, reasonable suspicion, post-accident, return-to-duty, and follow-up testing.)
- Any Commercial Driver who has received a Confirmed Positive Result or the Equivalent and has not successfully completed all Rehabilitation Program requirements and follow-up testing requirements is not eligible for this position. (Per SOM 2.1.10).
- Kansas Tax Clearance Certificate required in accordance with Executive Order 2004-03. Each applicant (even non-residents) who is selected for a State of Kansas job vacancy must apply for a Tax Clearance Certificate within 10 days from the date of the offer letter by accessing the Kansas Department of Revenue's (KDOR) website at www.kdor.ks.gov/apps/taxclearance/Default.aspx .
