Keeler & Company LLC is hiring a self-motivated and impeccably organized full-time Business Manager to join our friendly interior design studio in Jamaica Plain. The Business Manager will report directly to the Principal Designer to support and lead all aspects of the daily operations of the business.
The ideal candidate will have at least 5 years of experience working in a fast-paced office environment and is expected to provide reliable assistance with all tasks listed below. The role calls for excellent communication and presentation skills, a strong attention to detail and a conscientious, proactive and organized approach to all areas of responsibility.
Job Responsibilities
Project Management:
- Oversee all project timelines with support from project leads, including new client onboarding
- Prompt, detailed and polite vendor and client communication
- Involvement in the design process as it relates to purchasing and expediting
- Client concierge - coordinating client gifts, hotel reservations, moving companies, etc.
- Draft contracts, proposals for potential clients
- Develop, document, and maintain internal workflows and standard operating procedures (SOPs) to support efficiency, consistency, and growth
- Identify operational gaps and proactively implement process improvements across projects, purchasing, and office systems
Office Management:
- Ensure offices are well run, supplied etc.
- Maintain software, professional memberships etc.
- Review all employee timesheets weekly
- Manage Company Vehicles
- Manage company mailboxes
Accounting/Bookkeeping
- Manage monthly client billing
- Liaise with bookkeeper to ensure prompt payments, credit card reports and uncategorized expenses
- Manage all office tools including Asana, Harvest, Slack, etc.
- Manage shipping program and reconciliation
Marketing:
- Liaise with PR firm on press opportunities
- Work closely with principal designer to develop strategic approach to all marketing efforts
- Support marketing initiatives including website, social media calendars (Instagram, Facebook, Pinterest), print advertising, and other opportunities as appropriate
- Coordinate and manage photoshoots
Qualifying Applicants:
- Skilled multi-tasker who can handle many projects at once
- Pleasant and upbeat demeanor is essential
- Individual is process oriented both in creation and maintaining of processes
- Fast-paced office experience with inclination towards strategic thinking
- Proven ability to manage schedules, create processes and hold others accountable
- Professional demeanor with vendors and clients.
- Familiarity with Google Suite, Asana, Microsoft Excel, and Ivy Design Management Software is a plus
The Details:
- Full-time position located in Jamaica Plain
- 2 weeks paid vacation, 2 weeks unpaid vacation, office is closed between Christmas and New Years and for 7 other holidays throughout the year
