Job Title: Office Coordinator II


Location: Cira Centre, 2929 Arch Street Philadelphia, PA 19104


Work Arrangement: Onsite


Duties:

This role provides advanced administrative and clinical management support.

  1. Perform advanced administrative tasks including triage calls, coordination and scheduling.
  2. Assist with complex patient services including scheduling appointments, check outs, sending documentation and contacting appropriate stakeholders.
  3. Respond to complex inquiries and assist stakeholders according to procedures.
  4. Manage records including charts, files, and correspondence according to procedures.
  5. Assist with the maintenance of systems, procedures, and methods for record keeping and reporting.
  6. Schedule and provide administrative support for meetings, interviews, committees, conferences and calendars.
  7. Prepare presentations, letters, reports, memoranda, and related materials.
  8. Oversee office supplies for the department.
  9. Assist with the new hire process and employee support including timekeeping.
  10. Other duties and administrative support projects as required.


Skills:

  1. Basic knowledge of medical terminology and protocols
  2. Basic knowledge HIPAA regulations
  3. Intermediate proficiency with electronic medical record software (EPIC)
  4. Intermediate proficiency with word processing software (Microsoft Word)
  5. Intermediate proficiency with spreadsheet software (Microsoft Excel)
  6. Basic proficiency with presentation software (Microsoft PowerPoint)
  7. Excellent verbal and written communications skills
  8. Excellent interpersonal skills
  9. Excellent organizational skills
  10. Strong time management skills
  11. Solid conflict resolution skills
  12. Ability to maintain confidentiality and professionalism
  13. Ability to work independently with minimal supervision
  14. Ability to work with and relate to people at all levels


Education:

  1. Required Education: High School/GED
  2. Preferred Experience: Three (3) years of administrative experience in office and clinical setting
