Job Overview
We are seeking a dedicated and detail-oriented Legal Receptionist to join our growing legal team at our new office in Glendale. The ideal candidate will provide essential support in legal and non-legal (administrative) tasks and desires to contribute to the success of the practice. This role requires consistent punctuality, exceptional customer service, excellent organizational skills, and dependent attendance. Moreover, because you will be speaking and meeting with clients regularly (for example, walking in-person clients into the conference room for attorney consultations), the ideal candidate is also brand/image conscious, organized, professional, hospitable, and committed to helping us meet our clients’ needs.

Khalil Law Corporation has a diverse caseload, in federal and state courts, in the business, civil, real property, and trust/estates world. In business, we handle agreements, corporate compliance, formation/dissolution/mergers, and litigation. In civil matters, we take on a wide array of cases from plaintiffs and defendants. On the real property side, the firm handles agreements of all kinds, landlord-tenant disputes and litigation, homeowner rights, and transactional work. Finally, in trusts/estates, the firm does everything from estate planning to trust/estate administration. While we are consistently busy, you will find the work environment to be fairly casual and not intimidating at all.
Job Responsibilities
- Handling all incoming/outgoing calls and emails to/from the firm, including keeping organized log of all callers and corresponding messages, efficiently transferring calls to appropriate legal team members, and calendaring appointments - using Clio or other software as instructed.
- Handling all incoming / outgoing mail to/from the firm, including tracking return receipts and processing / distributing received mail.
- Contacting clients regarding intake appointments, trust signing appointments, discovery responses, depositions scheduling and reminders, and trial preparation - using Clio or other software as instructed.
- Creating, filling, retrieving managing, organizing, closing, and storing physical and digital client files in an organized manner for efficient document management - using Microsoft OneDrive or internal server as instructed.
- Dispatching and obtaining executed fee agreements, auditing outstanding fee agreements, sending client engagement letters and sending end of representation letters - using Clio or other software as instructed.
- Filing legal documents - using One Legal or other e-filing software as instructed.
- Collecting payments and sending receipts for in-office invoice payments.
- Daily management and upkeep of firm's calendar, including weekly and monthly audits - case deadlines, court hearings, client appointments, internal deadlines provided by attorneys, and staff vacations - using Outlook or other calendaring software as instructed.
- Generating weekly report to attorney(s) of upcoming deadlines and events.
- Generally providing administrative / clerical support to legal staff as assigned: managing calendars, scheduling appointments, professionally greeting in-person clients in a hospitable manner, preparing conference room for consultations, preparation of remote court hearings.

- Prolonged periods sitting at a desk and working on a computer.
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
