Job Title: Front Desk/Receptionist

Reports to:

Job Overview: Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards. Receptionist should have a pleasant personality, as this is also a customer service role. Multitasking, flexibility, and stress management skills are essential for this position.

Responsibilities and Duties:

Greets and welcomes all visitors in person or by phone

Provide basic and accurate information in-person and via phone/email

Requests all visitors sign in on the appropriate clip board

Notifies appropriate personnel of visitor arrival.

Delegates animal showings to staff or trained volunteers

Delegates meet & greet activities to staff or trained volunteers

Directs phone calls to the appropriate person and/or takes a message to have the call returned

Listens and responds to voicemail - uses message pad for others and fills out all information completely

Order front office supplies and keep inventory of stock

Monitors Facebook messenger messages, responds with comments

Screens all email in the general account, responds or forwards to the appropriate party

Puts all new adopters’ email into mail chimp

Sends email to mail chimp groups as directed

Maintains appointment calendar for visitors to see animals, meet and greets, adoption finalization/go home, veterinary appointments, etc. Do not double book appointments unless authorized by director.

Maintains a “to do” list of tasks that can be completed by volunteers

Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing

The night before print the calendar for the next day of animals going home, give a copy to Vet Tech and Vet tech assistant to ensure medical forms are completed and brought to front desk prior to adoption home going time

Find/arrange transport for animals coming in and going out.

If health certificate is needed, make the appointment at Banfield

Find out the cost for the certificate and transport

Get payment from the adopter for total cost (transport/certificate)

Find and call fosters for animals

Keeps a safe and clean reception area by complying with procedures, rules, and regulations.

Deals with emergencies in a timely and effective manner, while streamlining office operations.

Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

Contributes to team effort by accomplishing related results as needed.

Qualifications/skills:

Proven work experience as a Receptionist, Front Office Representative, or similar role

Proficiency in Microsoft Office Suite

Hands-on experience with office equipment (e.g., fax machines and printers)

Professional attitude and appearance

Solid written and verbal communication skills

Ability to be resourceful and proactive when issues arise

Excellent organizational skills

Multitasking and time-management skills, with the ability to prioritize tasks

Customer service attitude

High school degree: additional certification in Office Management is a plus

Job Type: Full-time

Schedule:

  • 8 hour shift

Work Location: In person

Salary : $9 - $10
