DCHS' Administrative Unit has a great opportunity for an administrative professional who has excellent customer service and technical skills for our Administrative Specialist II vacancy. We are seeking an energetic and hardworking colleague to join our team in an exciting Career Service position. The Administrative Specialist II position is responsible for providing customer service to the public, and administrative support to the department. We are seeking a team-oriented individual who is customer-focused, innovative, adaptable, and self-motivated. The successful candidate must have excellent and reliable attendance, stellar customer service skills in person and over the telephone (discretion, patience, etiquette, and professionalism) and be an independent self-starter with excellent time management and organizational skills.
To be considered minimally qualified applicant must demonstrate a background that provides the knowledge, skills and ability to:
- Create a welcoming environment on the phone and in person to people calling or visiting the Department and connect them to the relevant resources. This includes working at the front desk several times per week.
- Schedule in-person and virtual meetings and events and provide support, including but not limited to managing calendar schedules, taking and transcribing minutes, setting up equipment, reserving meeting locations, preparing meeting documents, etc.
- Format and proofread memos, letters and complex documents such as contracts, amendments, reports, newsletters, and manuals, using County and Division style guidelines for grammar, punctuation, terminology, abbreviations, font, spacing, tabbing, and alignment throughout.
- Maintain complex electronic and paper files, requiring close attention to detail.
- Establish, maintain, modify, track and/or retrieve information in spreadsheets and customized database applications. Enter, obtain and verify information.
- Handle routine clerical responsibilities such as ordering supplies, distributing and processing mail, copying documents, scanning, faxing and distributing incoming faxes, identifying priority/time-sensitive matters.
- Assist with processing employee expense reimbursements and reconciling purchase card and travel card expenditures.
- Operate and troubleshoot problems with copy machines, fax machines, laptops, projectors, and other equipment.
- Update website pages using Microsoft Sitecore.
- Perform other related duties as assigned.
- Two or more years of general office experience providing administrative support.
- Excellent customer service and public relations skills in a diverse work environment.
- Effective communication, both orally and in writing.
- One year of recent experience in taking and transcribing meeting minutes.
- Intermediate experience using Microsoft Office Suite, including Teams, Outlook, Excel, PowerPoint, Publisher, OneDrive and SharePoint.
- Strong writing skills, including proper usage of grammar, spelling and punctuation.
- Ability to type a minimum of 50 words per minute.
- Demonstrated initiative and accountability in meeting deadlines, work product or service.
- Ability to work and make decisions in a team environment, be an effective team member, help co-workers and ask for help appropriately, work with the schedules of other staff, be cooperative and able to compromise and resolve issues with minimal direction, be flexible and work professionally with all levels of staff.
- Ability to prioritize workload, work under pressure with tight timelines and changing priorities, and simultaneously work on multiple assignments.
- Experience working in environments requiring maintaining confidentiality.
- Demonstrated punctuality and reliability in daily attendance.
- Experience using Oracle I-Expense.
ADDITIONAL POSITION INFORMATION:
- This position has been designated Mission Critical. Unless otherwise directed by the County Executive, department director or agency head, all employees, regardless of designation, are expected to report to work or request leave during an emergency or inclement weather. - The work associated with this position will be performed or conducted through a combination of teleworking and onsite work and meetings. This position is expected in the office up to three (3) days a week and is subject to change to change depending on operational needs. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
- This position is scheduled to work 40 hours per week, Monday - Friday, 8am - 5pm. This position meets the provisions of the Fair Labor Standards Act and is overtime eligible with supervisory pre-approval.
