Job Summary:
The Receptionist is responsible for the smooth and efficient operation of the Kodiak office, including facility and logistical support and assures the effective functioning of the facility to provide an efficient and safe working environment for employees and activities. Additionally, this position is the first line of communication between the Corporation, the public, and Shareholders in the Kodiak area.
Essential Functions include, but are not limited to: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position.)
  • Responsible for maintaining a professional, neat, clean, organized and efficient office environment.
  • Ensure front desk coverage during business hours including greeting guests in a professional and appropriate manner, answering all incoming calls and referring them to appropriate staff and delivering messages to staff.
  • Facilitate incoming and outgoing mail, faxes and packages to appropriate staff including express shipments, certified mail log, courier deliveries and special service shipments. May require dropping off of mail and packages to local express mail facilities outside of the Kodiak office.
  • Plan and manage facility services and service contracts such as access, security, cleaning, courier, water, plant maintenance, recycling and waste disposal.
  • Conduct daily walk through of the facility to ensure a professional, clean, organized and efficient office environment, daily stocking of refrigerators and snack areas.
  • Manage and allocate facility space for maximum efficiency.
  • Ensures that office supplies are replenished in a timely manner; including toner cartridges for the various printers/copiers and all kitchen supplies. Responsible for ordering, pickup and delivery of office supplies as necessary.
  • Assist in the planning and logistics for staff and corporate events.
  • Maintain log of all incoming checks and cash receipts.
  • Maintain master contacts list and various event mailing lists.
  • Assist with maintenance of corporate filing system.
  • Update and maintain standard procedures, policies and manuals related to office administration, as needed.
  • Prepare coffee and hot water each day including in preparation of any meetings or events taking place in the offices. Load and unload the dishwasher daily and maintain kitchen and appliance cleanliness.
  • All other duties as assigned.
Position Requirements - Knowledge, Skills & Ability:
  • 2 years of progressively responsible administrative experience.
  • High school diploma or equivalent required.
  • Must be able to manage multiple projects and deadlines with no decrease in productivity.
  • Proficient in Microsoft Office Suite.
  • Excellent interpersonal skills; must be able to work independently and interact effectively with all levels of the organization.
  • Excellent oral and written communications skills.
  • High ethical standards and the ability to maintain confidential information.
  • Excellent organization skills and detail oriented.
  • Culturally sensitive and able to relate and interact with all Shareholders.
  • Ability to maintain a valid Driver's License.
  • Ability to work in excess of 30-hour week if necessary
  • Must have manual dexterity to operate computer keyboard and standard office equipment.
  • Dependable Attendance for a standard 8am – 5pm work day (with one-hour lunch break).
Office Location and Travel:
This position is located in Kodiak, AK.
Occasional travel to other local and out of state business sites, conferences and meetings may be required.
Working Environment & Conditions
This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The work load may require the incumbent to sit for extended periods of time. The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
