The Dispatcher is responsible for coordinating the activities of Chauffeurs through the use of radio and telephone communication to ensure that all scheduled and unscheduled runs are managed effectively and on time.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage scheduled runs, unscheduled runs and schedule changes so that Chauffeurs arrive at their pick-up points on time.
- Locate and assign Chauffeurs, as needed, to cover unscheduled runs.
- Handle radio traffic and multiple phone lines in a calm, effective and professional manner.
- Arrange with other limousine companies, as needed, to cover runs which cannot be covered with the available company staff.
- Assist drivers to learn effective radio communication and help them to solve problems in completing the run, as scheduled.
- When speaking with clients and other businesses represent the company in a professional and courteous manner.
- Document, in the system, specific problems with Chauffeurs or specific problems with clients and e-mail the appropriate supervisor.
- Document, on the pertinent form, specific problems with vehicles and forward these to the Fleet Manager.
- Learn common destinations in the geographic area served by the company and become familiar with routes and traffic patterns.
- Ensure that Chauffeur run sheets are completed and all needed receipts are attached.
- Provide backup to Reservations as needed (see Reservations job description).
- Seek supervision, from the appropriate authority, in carrying out assigned duties as specified.

Special Attributes
Motivation to learn how to efficiently handle multiple radio and phone communications combined with effective problem solving.
Education
High school diploma or general education degree (GED). College coursework preferred.
Knowledge
Understanding the importance of clear, direct, precise and timely communication in carrying out Dispatch functions. Familiarity with the geographic area served by the company.
Experience
Experience handling multiple phone lines in a busy environment. Typing or data entry experience.

Ability to perform the mathematical functions involved in filling out pertinent forms.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit for long periods of time and perform writing tasks and computer data entry. Specific vision abilities required by this job include close vision, distance vision, color vision and the ability to adjust focus.
