General Summary
Assists the Business Office with student billing, executing credit and collection policies, regulatory reporting and activities, maintaining efficient and effective recordkeeping, and keeping organized files of the student account information. Works closely with students, admissions, registrar, financial aid, and other campus offices to implement procedures related to student receivables. This role also involves completing all purchase orders and processing invoices accurately and promptly.
Essential Functions
- Performs student account-related duties, including billing, accounts receivable management, dunning and collection, student debt correspondence, and file management.

- Process refunds by Title IV regulations and Labouré College policy.
- Enter information into the accounting system and process daily work reports.
- Process outgoing payments under the college’s financial policies and procedures.
- Reconcile the AP ledger to ensure all bills and payments are accounted for and properly posted.
- Handle all purchase requests and reconcile within Jenzabar.
- Generate reports detailing accounts payable and student-related status.
- Ensure timely and accurate payments to vendors.
- Review of payments for compliance with internal controls.
- Obtain W-9s from all vendors and assist with year-end processing of 1099s.
- Assist with the preparation of month-end close schedules.
- Support Business Office staff with administrative duties, including answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, and presentations.
- Maintain general office files, including job files, vendor files, and other files related to the company’s operations.
