Your role at A Safe Place

As the Part-time, Housing Administrative Assistant, you'll be pivotal in providing comprehensive administrative support and clerical services to the Zion Campus Team, ensuring the smooth operation of our housing programs.

What you’ll be doing:

  • Waitlist Management: Assist the Director with client communications, scheduling, assessments, and application processing.
  • Service Coordination: Arrange client appointments for supportive services.
  • Administrative Duties: Process requests, order supplies, manage paperwork, logs, and grant-related data.
  • Client Engagement: Handle client inquiries and needs.
  • Data Handling: Maintain case files, and perform grant-related bookkeeping, and data entry.
  • Professional Conduct: Engage clients authentically, maintain boundaries, and uphold ethical standards.
  • Team Collaboration: Work effectively with the team.
  • Training Requirements: Complete IM CANS certification, 40-hour Domestic Violence training within the first month; Safe Zone, Mandated Reporter, and other trainings within 60 days.
  • Participation: Attend all mandatory meetings, training, and activities; take on additional tasks as needed.
Requirements:

What you’ll bring:

  • High School Diploma (GED)
  • Bilingual Spanish proficiency required
  • 2 years of Administrative Experience with Excel proficiency
  • Experience in crisis intervention, case management, advocacy
  • Strong trauma-informed skills, communication, interpersonal abilities, conflict resolution
  • Ability to develop and present client programs using technology
  • Cultural competence, ethical practice, sensitivity to diverse backgrounds
  • Adherence to professional ethics like the NASW Code of Ethics
  • Experience with electronic medical records documentation beneficial
  • Proficient in Microsoft Office, Outlook, Teams
  • Experience managing administrative tasks
  • Effective time management, organization, and prioritization skills
  • Commitment to supporting survivors, fostering a violence-free society
  • Familiarity with domestic violence dynamics and survivor challenges

What you'll experience:

  • Primary Working Hours: Monday-Friday, 9:00 AM to 5:00 PM, must be available on Wednesdays.
  • Additional Hours: 3.5 hours per week assisting staff as needed, totaling 19.5 hours weekly.
  • Work Environment: Office to secure shelters.
  • Physical Demands: Lift 20 lbs, use stairs, move around facilities.
  • Service Requirement: Must meet 70% direct service; and 60% for supervisors.
  • Meeting Attendance: Must attend 70% of staff meetings.
  • Event/Community Participation: Optional, but some roles may require it.
  • Travel: Role-specific, training, and outreach may be required.
  • Transportation: Must have reliable transportation, a valid driver's license, and active auto insurance.
  • Holiday Shifts: Commitment to cover 2-4 hour shifts during holidays, if required.

Benefits:

Compensation:

  • Base Rate: $20-$25/hour, bi-weekly pay (26 periods/year).
  • Compensation Factors: Based on grant funding, skills, experience, and expertise.
  • Work Authorization: Must be U.S. work-authorized; no visa sponsorship available.
