JOB TITLE: Alumni Enrichment Support Officer
DEPARTMENT: Learning Outcomes
REPORTS TO: Director of Alumni Enrichment
POSITION TYPE: Full-time, exempt
SUMMARY: The Alumni Enrichment Support Officer will support both the Director of Alumni Enrichment and Alumni Success Managers by providing administrative support including but not limited to scheduling meetings, processing volunteer certifications, and managing the alumni database. As needed, some cross-functional team (CFT) assignments may also be required.
DUTIES AND RESPONSIBILITIES:
- Provide exceptional internal and external customer service to alumni, students, volunteers, and staff by responding to inquiries and providing explanations and instructions.
- Process volunteer certifications and recertifications.
- Support, organize, and schedule volunteer and alumni enrichment meetings, as well as presentations.
- Support the Director of Events by encouraging registration both online and at events by creating nametags, attendee lists, briefing materials and other documentation.
- Proactively supports the team by managing the alumni database.
- Assist with reviewing and compiling data from the alumni database across alumni enrichment and events functions.
- Manage requests through Alumni@lambdachi.org.
- Perform other related duties as assigned.
MINIMUM QUALIFICATIONS:
- At least two years of experience in data management or providing strong administrative support.
- Experience working within Microsoft Office Suite, Zoom, and Monday.com.
- Fraternity/sorority membership preferred, but not required.
- Bachelor's degree from four-year college or university preferred, but not required.
KEY PERFORMANCE INDICATORS (KPIs)
Volunteer Certification Processing
- Process Volunteer Certification Forms in 10 business days.
- Issue bi-annual questionnaire, to new advisors, to determine the effectiveness of certification processing, onboarding and support.
- Alumni Support
- Ensure Chapter database requests are processed within 48 hours.
- Ensure new contact details, and change of circumstance are updated within the alumni database, ChapterSpot and GreekBill (Lambda Chi’s CRM system) within 48 hours.
- Alumni Relationship
- Issue annually, the alumni engagement survey.
These KPIs will serve as benchmarks for evaluating the Director of Alumni Enrichment’s performance and contribution to Lambda Chi Alpha's alumni goals and objectives.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
- Some travel may be required
- The employee must occasionally lift and/or move more than 10 pounds
