Lancaster Nursing and Rehabilitation Center is seeking an experienced Director of Admissions lead our admissions department for our 446 bed long term care facility in beautiful Lancaster, Pennsylvania.
Position Summary
This role includes community outreach to potential referral sources and development of relationships with external provider sources to maintain and build new service capabilities via outside sales calls, conversations, educational presentations, and follow-up. Efforts should result in meeting or exceeding maximum census for the facility by increasing inquiries and expanding the referral base. The goal is to grow a new base of business while retaining existing business, and to look for niche marketing opportunities in the community.
General Purpose
Provide potential customers and referral sources with facility related information via outside sales calls, conversations, education and follow-up. To build and maintain relationships with external providers of health care services. This should result in meeting or exceeding maximum census for the facility by increasing inquiries and increasing our referral base. The goal is to grow a new base of business while retaining existing business, and to look for niche marketing opportunities that aren’t being met in the community. To coordinate and manage the care and transition of incoming clients; work with the entire facility team to achieve occupancy and census mix goals; coordinate practices and procedures which foster a resident-centered admissions process; and provide exceptional customer service.

Position Responsibilities
Specific responsibilities of the position include, and are not limited to, the following:
• Work with the admissions team to:
o Assess off-site clients prior to admission.
o Conduct family/referral source meetings to coordinate care and services.
o Communicate with community resources to gather data that addresses service needs and requirements.
o Develop and maintain relationships with referrals sources to advise them of bed availability and services, efficiently meeting the daily needs of the community at large.
o Visit hospitalized customers and families to monitor discharge plans and facilitate communication about the transition.
o Visit/telephone customers after discharge to home or lower level or care to observe customers’ environment and assess for readmission needs.
o Collect and verify accurate clinical, payer, and social information from the client, family/responsible party, discharge planner, physician, and/or other community resources regarding anticipated admission/re-admission and discharge planning needs. Communicate those details to the facility team to coordinate a smooth resident-centered transition of care.
Additional responsibilities include:
- Attend morning meeting or send a representative from the admissions department.
- Be aware of bed availability and help manage admissions and discharges to reach budgeted occupancy and payor mix. Demonstrate sense of urgency re: census/premium mix enhancement and management.
- Maintain a close working relationship with DON, Business Office Manager, and Administrator to assure appropriate prompt decisions about prospective admissions and that business and revenue goals are being met.
- Make sales calls outside the facility to medical professionals, senior organizations, appropriate special interest groups, hospital staff, insurance organizations and other community contacts. Maintain a database of medical contacts/community resources along with knowledge of industry trends and legislative/regulatory issues and share information with facility staff and community contacts.
- Maintain knowledge of federal and state regulations and reimbursement (Medicare and Medicaid) as well as the managed care referral process.
- Responsible for developing annual budget projections and management of the budget monthly.
- Have strong working knowledge of managed care and responsible for negotiating managed care contracts.
- Have a strong working knowledge federal, state, and local laws and regulations, and adheres to, uphold, and enforce all facility policies and procedures.
- Train and coordinate in-house staff to serve as main source and back-up for inquiries, tours, admissions, and admissions paperwork.
- Assist in development of facility materials such as brochures, press releases, television, commercials, and advertisements that describe the facility’s services.
- Lead the Customer Service Committee to achieve revenue, customer service and community positioning goals.
- Serve as a member of the Customer Service Committee whose purpose is to enhance facility and community relations, implement quarterly marketing plan, monitor budgets, track results, and support/boost staff morale.
- Develop and implement special events and presentations targeted at community lay and professional education, positioning the facility as a resource on skilled nursing and rehabilitation care in the community. Train other staff to assist at exhibits and trade shows.
- Monitor competition through market analysis, what programs they have, contracts, appearance, census achievement, and observe marketing messages.
- Attend all department meetings and/or educational programs as scheduled.
- Manage daily data entry into PCC database.
- Complete daily, weekly, monthly, quarterly and annual reporting requirements.
- Maintain departmental budget monthly, and log spend down.
- Perform additional functions or duties, as assigned by the Administrator.
Education Requirements
- EDUCATION: Bachelor’s degree in Business/Communications or related field preferred. Completion of post-secondary education in the related field of human services, psychology, sociology, social work, or case management preferred.
