The Position:


The Maintenance Administrator is responsible for supporting mechanics and repairs for the company’s fleet by scheduling trucks and equipment for services, maintaining repair records, ordering parts, including their shipping, and receiving, and inventory cycle counting. It requires excellent organizational skills and the ability to multitask, as emergency repairs and immediate parts acquisition will be required. Excellent interpersonal skills are required as you will be interfacing with various departments, including external vendors and repair teams, to keep our equipment running smoothly. Maintaining customer records and verifying they are up-to-date and organized is critical to the success of our department; of those records, we are also responsible for invoicing said customers by their respective deadline(s).

Supervisory Responsibilities:


  • None

Duties/Responsibilities:


  • Maintains consistent stock of inventory, ordering new stock up to pre-authorized limit as inventory dwindles.
  • Establishes and maintains backup source for high-demand items.
  • Assesses inventory reports and order patterns to identify items in need of automatic, recurring delivery.
  • Provides inventory reports to purchasing and inventory control manager.
  • Develops and maintains good working relationships with vendors.
  • Maintains accurate daily records of goods received and shipments made.
  • Manages and maintains inventory system; facilitates upgrades to related database and/or software under the direction of the purchasing or inventory control manager.
  • Conducts frequent spot and partial audits of physical inventory.
  • Assists with periodic (at least annual) physical inventory audits.
  • Pick up parts including items to be returned, company orders, and other items as requested.
  • Performs other related duties as requested.

Required Skills/Abilities:


  • Excellent communication skills with employees and outside vendors.
  • Basic understanding of inventory control procedures.
  • Proficient keyboarding skills.
  • Ability to prioritize tasks and work with minimal supervision.
  • Ability to perform basic math calculations.
  • Excellent verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to act with integrity and professionalism.
  • Proficient with Microsoft Office Suite (or related software).

Physical Requirements:


  • Must be able to lift 50lbs of parts and/or tooling.
  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to perform repetitive movements over long periods of time.
  • Must be able to navigate warehouse and reach items both high and low.


Education and Experience:


  • High School diploma or GED required.
  • Previous parts or inventory experience preferred but not required.
  • Valid driver’s license and clean driving record.

The Location:


We are in Mount Vernon just north of Highway 20 in the beautiful Skagit Valley. The site is a fully operational Construction & Demolition recycling center which has frequent traffic, dust, and noise.
