Overview:
Launching in early 2026, Legacy Club is Plano’s premier members-only social club located in the heart of Legacy North. The Executive Operations Manager will report to the Managing Director and support Legacy Club’s Executive Team across several critical areas, including Investor Relations, Club Administration, and Executive Support.
This position demands a candidate who is diligent, thoughtful, and curious. The Executive Operations Manager must be exceptionally detail-oriented, executing all tasks with thoroughness and excellence. They must be proactive, managing every detail, asking the right questions, and actively solving problems as challenges arise.
Executive Administrative Support:
- Executive Effectiveness: Coordinate logistics and agendas for meetings and track all follow up and action items.
- Information & Document Preparation: Prepare and compile necessary documentation, reports, and presentations for review and meetings.
- Office Administration: Oversee administrative aspects of the office, including managing supplies, technology, and filing systems to ensure a smooth operation.
Investor Relations Support:
- Investor Portal Administration: Manage the end-to-end user experience of the investor portal; upload documents, troubleshoot access issues, and ensure data integrity.
- Document & Distribution Tracking: Maintain accurate and meticulous records of capital calls, distributions, preferred return accrual, and subscription agreements.
- Reporting & Compliance: Coordinate the timely distribution of quarterly reports and annual budgets. Act as the primary liaison for the distribution and tracking of Schedule K-1 tax forms.
- Communication Management: Draft and distribute investor notices, newsletters, and updates to be approved by the Managing Partner. Serve as the first point of contact for investor inquiries regarding contact information or account status.
- CRM/Contact Management: Maintain an accurate database of investor profiles, including banking instructions and ownership structures.
Private Club Administrative Support:
- HRIS & Payroll: Act as the administrator for the Human Resources Information System (HRIS). Manage payroll processing cycles, employee record-keeping, and onboarding/offboarding documentation.
- Financial Coordination: Manage the accounts payable workflow; code and track invoices, and coordinate closely with the external bookkeeper to ensure accurate ledger entries.
- Contract & License Management: Maintain a master calendar for all club contracts, permits, and liquor/business licenses; initiate renewal processes well in advance of expiration.
- Document Management: Establish and maintain secure filing systems for sensitive corporate, legal, and personnel records.
Qualifications:
- 3-5 years of experience in an executive administrative, operations, or similar support role, preferably within a hospitality or financial/investor relations environment.
- Proven track record demonstrating diligence, exceptional detail-orientation, curiosity, and a proactive, problem-solving mindset.
- Proficiency in administering HRIS and payroll systems.
- Familiarity with accounts payable workflows and coordinating with external financial services (e.g., bookkeepers).
- Experience with investor portal management, document control, and maintaining data integrity.
- Strong competence in Microsoft Excel, document, and presentation preparation (e.g., Microsoft Office Suite, Google Workspace).
Salary : $65,000 - $75,000
