Description
Under general supervision of the Records Division Supervisor, this position records and indexes documents relating to land records, federal tax liens, discharges from military service and powers of attorney.
Requirements
The above knowledge, skills, and abilities are acquired through a combination of education and experience equivalent to a high school diploma and one (1) year experience in office support, clerical, or reception. Associates degree in Business or Office Technology, and land and title experience preferred. Current Notary preferred.

Duties and Responsibilities
- Records and indexes documents relating to land records, federal tax liens, discharges from military service and powers of attorney;
- Scans documents and maintains digital records;
- Researches land records and performs searches for deeds, mortgages and other documents;
- Processes requests for duplicate birth and death certificates;
- Calculates payments and fees for documents;
- Performs cash receipting;
- Responds to citizen inquiries as needed;
- Assists other staff when necessary;
- Performs other duties as assigned.

- Montana state statutes related to public records management;
- Lewis and Clark County policies and procedures;
- Treasurer’s office policies and procedures;
- Records management policies and procedures;
- Data entry methods and practices;
- Office methods and procedures, including filing, indexing procedures, and computer usage.
Examples of Skills and Abilities
- Organizing resources and establishing priorities.
- Use of common office machines;
- Understand and follow oral and /or written policies, procedures and instructions;
- Communicate effectively verbally and in writing.
