Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the year round operations of our office, off season events and preparation for and support during fair.

In this vital role, you will oversee daily office and rental building functions, manage vendor relationships, work closely with board and committee members and ensure smooth scheduling and communication across departments. Your proactive approach will foster an efficient, welcoming workspace that supports our fair's productivity and growth. The ideal candidate is energetic, detail-oriented, able to multi-task, work well alone or with others.

Responsibilities

  • Oversee daily office operations, including phone and email communication, date entry, and record keeping to ensure seamless workflow.
  • Maintain records, contracts and documentation as required by local and state guidelines for fairs.
  • Manage scheduling for grounds events and rentals, ensuring calendars are up-to-date with no conflicts
  • Ensure rental facilities are prepared for events.
  • Coordinate vendor relationships for supplies, grounds maintenance, and concessionaires, vendors and entertainment for fair week.
  • Oversee bookkeeping tasks with QuickBooks such as recordings sales, sending invoices and supporting Treasurer with monthly financial reconciliation
  • Work closely with board members to ensure all things are prepared for events and annual fair.

Qualifications

  • Proven experience in office management or administrative roles with supervisory responsibilities.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Experience with QuickBooks or comparable accounting software for sales and bookkeeping tasks.
  • Experience with Word and Excel.
  • Excellent communication skills coupled with professional phone etiquette for interacting with staff, vendors, and visitors.
  • Experience with computers and willingness to learn and utilize the platforms we use.
  • Familiarity with fairs, livestock or 4-H/FFA are a plus but not required.
  • Demonstrated ability to manage vendor relationships, and scheduling effectively. Join our team as an Office Manager to lead with energy and purpose! Job Type: Part-time

Pay: $18,000.00 - $20,000.00 per year

Expected hours: 12 – 40 per week
