The Region 5 Long Term Care Ombudsman Program is looking for someone who loves organization, thrives on Excel spreadsheets, and enjoys supporting people who advocate for others. As our new Data Entry and Volunteer Coordinator, you’ll be the go-to person for keeping our reports accurate, our volunteers on track, and our program running smoothly.
You don’t need to know everything about long-term care (we’ll train you), but you do need to know how to handle data with care, communicate clearly, and manage details like a pro.
What You’ll Do:
Keep Our Program Organized
- Enter field visit logs, complaint reports, and other forms into Excel and internal systems
- Maintain detailed spreadsheets (think formulas, filters, pivot tables—yes, we use them!)
- Track trends, identify missing info, and help generate reports for the state and our own planning
Support Our Volunteers
- Help guide new applicants through onboarding and training
- Make sure our volunteers stay up to date with documentation and continuing education
- Keep in touch—send reminders, answer questions, and help keep everyone connected
Pitch In When Needed
- Help plan meetings, training sessions, and community outreach
- Occasionally visit long-term care facilities to gather information or support volunteers
- Be ready to support the program wherever you're needed most
Who You Are:
- You’re confident working in Microsoft Excel and know your way around formulas and formatting
- You’re organized, reliable, and comfortable managing lots of moving parts
- You communicate clearly—whether over email, phone, or in person
- You’re comfortable working independently and as part of a close-knit team
- You have a high school diploma or equivalent (Associate’s or Bachelor’s degree is a plus)
- You have at least 1 year of experience in data entry, admin support, or volunteer coordination
- You’re willing to travel occasionally within Region 5 (we reimburse mileage)
Most ideal for someone with:
- Experience in human services, healthcare, and/or volunteer programs
- Familiarity with privacy/confidentiality guidelines (we can also teach you)
- A knack for staying calm and focused when things get busy
